Based in the Burnaby area, this organization has been growing and expanding across Canada for over a century. In response to a recent retirement, they are seeking an exceptional Executive Assistant to report directly to the Chief Executive Officer. The Executive Assistant will be responsible for providing top-notch support to the leadership team, ensuring that communications, scheduling, and administrative tasks are handled promptly and professionally.
We are seeking a strong communicator and self-starter with excellent attention to detail and the ability to creatively execute tasks while adhering to business constraints.
RESPONSIBILITIES
Meet weekly with the CEO to review upcoming appointments and outstanding tasks, and assist the CEO with scheduling requirements.
Attend meetings with the CEO to take notes and circulate these notes to all attendees.
Draft memos and other communication on behalf of the CEO.
Ensure the CEO is prepared for meetings with materials necessary for efficient decision making.
Organize the structure, facilities, scheduling, and logistics for Board and Executive meetings.
Manage correspondence between the CEO and non-direct reports, customers, and suppliers, and update the CEO on these communications.
Circulate documents for signature and follow up.
Coordinate service awards and anniversary staff gifts on behalf of CEO.
Assist the CEO with personal tasks on an as-needed basis.
Role model values and culture.
Other duties as required.
MEASURES OF SUCCESS
Respond to the CEO within 30 minutes during business hours.
Emails to the CEO are responded to within one hour during business hours.
REQUIREMENTS
Proven track record of executive team support, confident in their ability to do so, and motivated by helping others be successful.
Self-starting, solutions oriented and explores innovative ways to improve.
Approachable and can represent the CEO’s values.
Extremely detail oriented and highly organized.
Exceptional communication skills.
Proficient with Microsoft Office 365 (technically competent).
Over 3 years experience as an Executive Assistant.
Job Type: Full-time
Pay: From $70,000.00 per year
