The ideal candidate is a detail-oriented team player who will be the first point of contact for customers over the phone and visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).
PRINCIPAL FUNCTIONS & OBJECTIVES
- Greeting Visitors: Welcome and assist visitors, clients, and employees in a courteous and professional manner.
- Handling Phone Calls: Answer and direct phone calls to appropriate staff members, take messages, and handle inquiries with efficiency.
- Record Keeping: Ensuring all guest sign-in on arrival.
- Administrative Support: Perform general administrative tasks such as filing, data entry, and managing office supplies.
- Customer Service: Address any questions or concerns from visitors and clients, always providing excellent customer service.
- Mail Handling: Receive, sort, and distribute incoming mail and packages; prepare outgoing mail and shipments. Assist marketing team with seasonal mail outs.
- Reception Area Management: Maintain a clean and organized reception area, including keeping the front desk and lobby tidy.
- Office Amenities Management: Organize and maintain the coffee machines and snack bars, including monitoring inventory levels and placing orders to replenish coffee and snack supplies as needed.
- Other responsibilities and accountabilities as assigned by management
KEY SKILLS AND EXPERIENCE
- 5 years of Experience Preferred
- Ability to multitask is a must (able to handle 8 phone lines)
- Highly organized
- Proficient in MS Office Suite, Experience with VOIP (Voice Over System) preferred
- Excellent verbal and written skills
- Strong interpersonal skills
- Highly service driven
- Productive and efficient in planning and executing work
- Exceptional attention to detail
- Works well in a fast-paced environment
- Energetic, upbeat, tenacious team player
- Fluent in English
