The Executive Assistant will provide high-level administrative support to the executive, ensuring efficient operations and enabling the executive to focus on strategic initiatives. This role requires a proactive, highly organized individual with excellent communication skills and the ability to handle sensitive information with discretion.
Key Responsibilities:
Administrative Support:
Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Screen and direct phone calls and distribute correspondence.
Prepare reports, presentations, and briefs for the executive.
Handle confidential documents and ensure they are secure.
Meeting Coordination:
Organize and prepare for meetings, including gathering documents and attending to logistics.
Take minutes during meetings and follow up on action items.
Travel Management:
Arrange complex and detailed travel plans, itineraries, and agendas.
Compile documents for travel-related meetings.
Communication:
Act as the point of contact between the executive and internal/external stakeholders.
Draft and edit correspondence, communications, presentations, and other documents on behalf of the executive.
Project Management:
Assist with the planning and execution of special projects.
Coordinate with various departments and manage timelines to ensure projects are completed on schedule.
Office Management:
Oversee office operations and procedures to ensure efficiency and effectiveness.
Manage supplies inventory and place orders as needed.
Relationship Management:
Develop and maintain relationships with key stakeholders, clients, and partners.
Handle requests and queries appropriately.
Qualifications:
Education:
Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Experience:
Proven experience as an Executive Assistant or similar role.
Experience in managing multiple priorities and administrative coordination.
Skills:
Excellent verbal and written communication skills.
Strong organizational and time-management skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to multitask and prioritize tasks with attention to detail.
Discretion and confidentiality.

Working Conditions:
