Program:        BCFS HHS El Paso Shelter Program

Status:            Full-Time

Education:     Required –High School Diploma, or, equivalent                        

                         Preferred – 2 year associate’s degree from accredited program/institution, or two or more years of college-level course work..

Experience:    Required – 1 year related experience and/or training

                          Preferred - 2 plus years related experience and/or training

Supervises:   None

Summary:     The Regional Logistics Clerk (Clerk III) provides general clerical support to Case Management, Clinical, Logistics, Food Services/National School Lunch Program and Maintenance Departments as assigned.

Essential Functions:

  • Maintain a comprehensive filing system and be able to locate and retrieve information from files as directed. 
  • Manage program administration using the BCFS requisition system including tracking of receipts and invoices; vendor contact information and contractor and supplier files.  
  • Generate general correspondence, memorandums and department records.  
  • Record and maintain departmental and facility reports for the Director as requested.  
  • Maintain comprehensive inventory control system in support of Clinical, Case Management, Education, Logistics, Food Services/National School Lunch Program and Maintenance Departments. as assigned.
  • Meet all pre-determined deadlines required by program and federal partners.

Measurable Deliverables:

  • Meet all federal and state regulatory guidelines and standards that are applicable to this position.
  • Maintain all contractor records and bookkeeping data efficiently and appropriately. Generate weekly work order reports, including completed, in progress and overdue assignments.
  • Maintain a filing and tracking system for building inspection records.
  • Create and submit purchase requisitions, receipts and invoices in accordance with BCFS timeline requirements.
  • Maintain purchase order logs.
  • Create and submit travel and expense reports in accordance with BCFS timeline requirements.
  • Participate in scheduled meetings, team decisions and operations.
  • Implement BCFS safety protocols including evacuating with children and other staff in case of an emergency. 
  • Work evenings, weekends and holidays as needed and as requested by the supervisor.
  • Maintain confidentiality in all areas of the child and program operations.
  • Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code at all times.     

Credentials, Skills and Abilities:

  • Maintain current licenses and certificates required for the position including, but not limited to: 
  • First Aid, CPR, Emergency Behavior Intervention.
  • Pass a pre-employment drug screen and random drug screens throughout employment.
  • Provide proof of work eligibility status upon request.
  • Pass a pre-employment and biennial criminal background checks.
  • Demonstrate the ability to:
  • Respond sensitively and competently to the service population’s cultural and socio-economic characteristics
  • Work collaboratively with other staff members, service providers and professionals
  • Communicate effectively in writing and verbally in English (and Spanish strongly preferred).
  • Read, analyze and interpret policy manuals and documents
  • Work in a fast paced environment and maintain emotional control and professional composure at all times
  • Maintain computer literacy required to meet responsibilities of the position.
  • Organize and plan work.
  • Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team
  • Demonstrate a working knowledge of Residential Services policies and procedures.
