Shift/Schedule:Monday - Friday, Rotational shifts of 7:00am - 4:00pm, 8:00am-5:00pm, or 8:30am - 5:30pm; One (1) late night shift per week, either Mon, Tues, or Wed (11:30a-8:30pm) determined upon hire; (Occasional Saturday - will be on rotation with Front Office team 7:45am - 1pm)

Position Summary:
Responsible for performing front office functions for all site service lines including telephone activities, patient appointment scheduling, patient registration, computer data entry, collection of payments, and maintaining patient records systems in a manner which promotes quality patient service. Provides excellent customer service to patients.Compensation is dependent on skills and experience.
Your contribution to the team includes:
- Greet clinic patients and visitors as appropriate, which include checking-in all patients by entering patient data into computer system. Ensure accuracy of all data including income, address and insurance verification. Collect patient fees and provide patients with receipts for office visit and medication refills.
- Ensure patient needs and requests are handled efficiently.
- Schedule patient appointments ensuring efficient use of provider time and the appropriate care for patients according to HealthPoint procedures. Also schedule follow up appointments for patients, confirms patient appointments, arrange for interpreters and answers and screens backline telephone calls, takes messages and directs to appropriate staff.
- Maintain schedule accuracy for maximum patient flow by checking schedule a minimum of five clinic working days ahead, confirming provider date and times are correct, identifying and correcting inaccuracies or mistakes to schedule and ensuring that unique events and provider administrative time are accurately reflected on the clinic schedule.
- Maintain effective communication with back office staff and providers as needed to appropriately “work in” additional patient visits on providers' schedules.
- Follow established procedures for answering and screening incoming appointment-related telephone calls, scheduling interpreters, directing calls to appropriate staff and taking messages.
- Promote and enroll patients into special state programs as appropriate.
- Manage patient charts in a timely fashion according to HealthPoint procedures including attaching appropriate paperwork to patient charts and processing same day medical records for appointments.
- Maintain reception work area and waiting room.
- Follow established procedures for opening and closing the clinic each day including balancing cash and preparing daily bank deposits.
- Act as backup to Medical Records as needed.
- Attend staff meetings, in-service meetings, participate in agency committees and task force activities.
- Other duties as assigned by supervisor.
Must have's you'll need to be successful:
- High school diploma/GED; Customer Service/Medical Front Office or Reception experience is preferred.
- Beginning level of Word, Excel and Outlook required.
If you know about the following, it's a plus:

- Bilingual in English/Spanish/Portuguese preferred.
Proof of vaccination for COVID-19 is required, prior to start. All new employees are also required to show proof of immunizations and/or immunity to MMR (measles, mumps, rubella), Varicella, annual Influenza and TB QuantiFERON Gold Titer. Additionally, if you work in a HealthPoint clinic, Tdap (within last 10 years) is required. Hepatitis B. is required for clinical employees with potential exposure to blood/blood products. All immunizations are a condition of employment. Upon hire, employees must provide proof of their immunizations and/or immune titer results prior to starting or no later than their fifth (5) business day of employment.
