Key Activities: Manages all aspects of management committee level executive’s calendar including scheduling meetings, appointments, calls, and events. Coordinates with the Public Information Officer regarding acceptance of speech requests, as applicable. Secures meeting space if needed and/or arranges virtual meeting platform and, at the time of the meeting, ensures all meeting participants are connected. Works closely with the Officer to proactively anticipate their needs, ensure they are on schedule throughout the day, and provides reminders of upcoming deadlines. May manage Officer’s email inbox and keep them apprised of upcoming deadlines or emails which require immediate attention. Coordinates travel arrangements to include airline reservations, hotel accommodations, ground transportation, and all other logistics during travel. Prepares travel itineraries, which include directions or maps of travel destinations, if necessary. May make international travel arrangements requiring a visa, complete foreign travel requests, and communicate directly with foreign contacts to confirm all arrangements. Processes travel reimbursements in accordance with established policy/guidelines. Exercises a high level of confidentiality, tact, and diplomacy, answers, screens, and directs incoming phone calls. Gathers complete and relevant information and refers calls to the appropriate staff, management, or senior management. Composes, formats, and/or edits correspondence, reports, meeting agendas, presentation materials, etc. on behalf of their Officer(s). Serves as a resource to others by proofreading documents for proper Bank style, grammar, punctuation, spelling, and formatting; recommends related revisions. Sends internal, System, and external correspondence on behalf of their Officer. Works closely with Conference Center team to plan all aspects of high-level meetings/events on behalf of their Officer(s), including room reservations and set-ups, catering, audio-visual needs, and hotel block reservations. Provides general support during meetings/events as necessary. Communicates with all levels of Bank staff, Board of Governors’ staff, System staff, and the general public. Contacts may also include high-ranking contacts, such as Directors, Advisory Council members, or members of the Conference of the Presidents or First Vice Presidents, or Treasury officials. Performs various duties such as data entry, distribution of mail, maintaining time and attendance records for Officer(s), purchasing office supplies, managing purchasing card expenditures, and monthly reconciliations. Organizes and maintains filing system (paper or electronic) for Officer(s) and is responsible for adhering to record retention guidelines. Provides project management and analytical support of varying complexity for their Officer as needed. May research and recommend networking opportunities for their Officer using judgement and analysis of existing relationships, trends, and potential gaps. Serves as the point of contact for high priority business meetings and relationships. Provides back-up support as needed to other Senior Officers on the floor. Performs other duties as assigned. Qualifications: Typically requires at least 3 or more years of relevant experience. High school education or GED. Senior understanding of business processes and subject matter. Performs work independently with limited supervision and direction. Serves as a resource for less experienced staff.
