Responsible for oversight of the meeting planning process with both internal stakeholders and external meeting agency partners. **This position is virtual. Must have pharmaceutical experience to be considered for this position** Reporting and Working Relationships: Reports to VP or Director level. Direct working relationship with clients and suppliers. Works primarily with client meeting stakeholders and various third-party meeting and event suppliers. Liaises with client meeting and conventions team. Principal Responsibilities: 45% STAKEHOLDER MANAGEMENT: Create and maintain timely upkeep of Standard Operating Practices (sops), communications and training materials for client meeting planning group. Collaborate with internal stakeholders to strategically determine meeting locations, timing of events based on business plans, oversee venue search/selection and contract execution Internal Team/Project Management: 25% PROCESS and SUPPLIER MANAGEMENT: Establish and maintain communication templates and best practices to support the clients’ meeting requirements, compliance and clients’ internal policies. Ensure compliant programming in accordance with client policies, Pharma Guidelines, state law and regulatory legislation, global rules and regulations. Management of compliance approvals, documentation and reporting transfers of values through respective transparency systems Oversee the attendee management process. On-Site program management to include overseeing staff and vendors. 20% FINANCIAL MANAGEMENT: Management of compliance approvals, documentation and reporting transfers of values through client transparency systems. Focus on business objectives and financial requirements to ensure meeting needs are being met while maintaining consistently high levels of service to ensure delivery of cost savings across meetings. Strategic management of program finances from initiation to final bill reconciliation, approval and payment. 10% OTHER: Other tasks as assigned. Qualifications and Skills: Bachelor’s Degree or equivalent experience required. Minimum 7 years of experience in the pharmaceutical meetings industry, in multiple meeting types to include HCP meetings (to include Investigator Meetings, Advisory Boards), sales meetings of a variety of the sizes, large scale pharmaceutical meetings to include national meetings, congresses and launches with a focus on operations and account management. Industry certifications preferred (CMP, CMP-HC, CMM, HMCC, etc.) Extensive knowledge of HCP guidelines and pharmaceutical meeting experience - Pharma Guidelines, state law and regulatory legislation, understanding of regulatory / compliance issues related to meetings. Prior successful experience in developing and maintaining key client and Account Manager/Account Executive relationships. Experience in managing and directing multiple third-party suppliers. Strong skills in Microsoft Suite, with focus on PowerPoint, Word, Excel. Essential personal traits: Business acumen, strong oral and written skills, flexibility, collaborative, detail-focused, proven leadership skills, ability to perform in fast-paced environment. Prior experience in effectively handling multiple projects/demands. Proven aptitude for technology and/or software solutions and analytical skills required. Knowledge of Cvent is preferred. Proven ability in developing cost sheets, budgets and implementing costing strategies and to understand and suggest technology solutions as business stakeholders. Understanding and adhering to client culture, values, policies and procedures. Knowledge of pharma compliance parameters and guidelines. Ability to travel 30% of time required.
