Job Details: JOB SUMMARY To provide a wide range of administrative and support services to the Customer Services Repair Centre team. The role is both administrative and hands on, so an ability and willingness to handle packages, boxes and electronic/electromechanical equipment is essential, along with accurate record keeping on Microsoft Excel, paper and bespoke computer systems and databases as used by Cubic. KEY DUTIES AND RESPONSIBILITIES (May be required to perform additional duties): Reporting to the “reader repair” team Supervisor, the main responsibility is to provide full administrative and general support to that team on a day to day basis. Updating and issuing various spreadsheets as required by the Repair Centre management team. To carry out corrections, updates and create repair jobs on the repairs database systems. To administer routine maintenance and calibration database and process as required. To oversee ESD control administration and recording within the department (Electro Static Discharge). To assist in the creation and release of Repair Centre documentation. To cover the Repair Centre service coordinator’s tasks during periods of absence. To provide assistance with 3rd party repairs processing. To provide assistance with the scrapping of unrepairable items process. To create purchase requisitions on the purchasing system as required by the team. To update, check and circulate various workshop reports and spreadsheets as required. To administer the hazardous waste and general waste disposal systems. To administer the H&S systems in the workshop. To provide administrative support to the Repair Centre team as required day to day. Comply with Cubic’s Quality Management System. Comply with Cubic Occupational Health, Safety and Environment policies and procedures. Comply with security in accordance with established policies and procedures of the organisation. To create purchase requisitions on the procurement system (SAP) and follow them up to ensure Purchase Orders are released by procurement, and Invoices paid by accounts. Other duties as requested. KEY REQUIREMENTS (Skills, knowledge, qualifications and experience) Qualifications Essential: ONC / GCSE grade A – C or equivalent Desirable: Relevant administrative vocational qualifications. PC Skills Certification (Excel, Word, other general PC skills) A level or equivalent academic qualifications Skills/Experience/Knowledge Essential: Good computer literacy. Microsoft Excel working experience to at least intermediate standard. Microsoft Word working experience to at least basic standard Desirable: Knowledge of ISO9001 Has worked in a technical customer services or engineering/repair/production type environment before. Experience in handling customer repairs, or other similar products in a technical environment. Personal Qualities Self-motivated Attention to detail.
