Essential Job Functions are:
1. Creates positive experiences for internal and external customers that will meet their expectations. Displays a high degree of courtesy, tact, and knowledge of services provided by the agency in all contact with staff, patients, and visitors.
2. Prints Interim orders daily for the Clinical Director/Assistant Clinical Director to review and mail to physicians for signature. Checks in returned and signed interim orders, plans of care, face-to-face 100% of the time and notifies the order specialist if applicable.
3. Processes and passes batches (including supplies) within 24 business hours 100% of time, making corrections and communicating to staff as directed by supervisor. Generate staff mileage through mileage advisor prior to each payroll.
4. Monitors and works the therapy utilization reports, admission statistic report, expiring certification reports, service reports and other correspondence as directed by supervisor. Maintains on-call calendar monthly.
5. Demonstrates proper telephone etiquette by answering phone properly in a friendly, courteous, professional and discreet manner with all callers.
6. Creates and maintains the Admission Packets for admitting staff in all programs, and keeps staff aware of any changes/updates.
7. Coordinates/triage calls received from patient/caregiver or other health care team members to the case manager or appropriate personnel promptly and effectively. Accurately fax lab results to appropriate parties within the next business day (infusion companies, MDs, CaseManagers, etc.)
8. Accurately orders supplies daily for patients by submitting diaper order monthly to appropriate corporate designee by requested date, maintaining supply inventory controls, including removal of expired supplies and products from ER closet, and prepare monthly inventory report by the 5th of the month and submit to supervisor and for VP of Clinical.
9. Maintains active and discharged records by accurately setting up files for new admits, filing documents per agency chart assembly format, maintain bereavement records for hospice for the 13 months in the file room, preparing all records for storage.
10. Responsible for the scheduling of professional/paraprofessional staff as needed: (a) accurately schedules using the McKesson auto scheduler/interactive scheduler so patients are seen as ordered to include fill-ins, (b) generates model, working calendars and service orders per policy, (c) assist in maintaining current information intoMcKesson scheduling/telephone systems, (d) facilitates as the gate keeper to communicate with Intake Insurance on authorization, (e) assist with notification to the physician per fax notification form of any missed nursing assistant visits at least weekly, and (f) coordinates SOC visits with Intake, Marketing, patients, caregivers, and professional staff.
11. Assist with the training of the Clinical Secretary I under the direction of the IT Clinical Information Analyst. Provides troubleshooting technical support to the Director of Clinical Services/Assistant Clinical Director and/or visiting staff with minimal assistance from the Information Technology Department.
Job Qualifications:
High School Diploma or equivalence required.
Associates Degree in Business Administration, or related field preferred.
At least one-year experience in healthcare administration preferred.
Working knowledge of current software relating to position.
Ability to work independently.
Working knowledge of medical terminology.
