Job Role:

Assistant

Job Summary:

Execute on a range of responsibilities--with a focus on event logistics--in support of the planning and delivery of a variety of different types and sizes of events for 501 Consultants, Inc., and our clients.

Job Level:

Assistant-level staff with no employee supervisory or managerial responsibilities; reports to COO; provides direct assistance to event management staff, and collaborates with multiple team members.

Employment Status:

Full time; non-exempt.

Job Duties and Responsibilities:

· EVENTS: Assist with the execution of event logistics for events of various size and scope from conventions to board meetings; conduct event research; facilitate vendor RFPs, selection, and agreements; fulfill sponsor benefits; help process exhibitor agreements; and execute event promotion strategies using templates and provided content.

* Obtain quotes and estimates.

* Process invoices and payments.

· CONTENT AND PRESENTERS: Provide administrative support in the development of event educational content as well as the recruitment, tracking, and communication with event speakers.

· MEETINGS: Assist in scheduling and organizing board, committee, internal staff, and other meetings; support agenda development and dissemination.

Required Technical Competencies:

· Proficient in MS Office Suite, particularly Excel.

· Familiarity with project management platforms such as Asana; ability to learn and become proficient in Asana.

· Familiarity with shared file systems.

· Familiarity with event BEOs and vendor RFPs.

· Familiarity with digital record-keeping.

· Familiarity with template e-blast platforms such as Constant Contact.

· Familiarity with social media management (Facebook, Twitter, LinkedIn, etc.).

Required Knowledge Areas and Skills:

· Event or program coordination.

· Proven track record of streamlining processes for efficiency and effectiveness.

· Pro-active and self-initiator.

· Excellent time management and organization skills.

· Detail oriented.

· Strong analytical and problem-solving skills; ability to trouble-shoot.

· Strong verbal and written communications skills.

Education, Certifications and Experience:

3 years of events logistics and/or coordination experience or equivalent.

Working Conditions:

This job operates in a professional, open-space office environment. It requires the routine use of standard office equipment such as computers, phones, copy machines and filing cabinets. This job is a largely sedentary role and requires the ability to remain in a stationary position at least 75% of the time, occasionally move about inside the office, constantly operate office equipment (such as a computer), occasionally ascend/descend stairs, have the ability to lift 40 pounds, and constantly communicate and exchange accurate information. Periodic travel will be required.

Starting Salary:

$16.80-$21.80/hour depending on experience.
