Here at A2G International, we are a leading provider of Airborne Intelligence, Surveillance and Reconnaissance services. We work with US and foreign governments, international organizations as well as private-sector entities to address their needs to perform a variety of operations with our experienced crew and fleet of Cessna 337s.
We are looking for an Accountant/Office Manager to run the day to day entry of AR and AP, handle payroll for our 30 employees, and maintain our contracts as well as overseeing the day-to day office operations. Other key responsibilities include organizing and coordinating office administration and procedures under the guidance of the Operations Support Program Manager, in order to ensure organizational effectiveness, efficiency, and safety. This role is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation.
A successful accountant/office manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.
What you get to do:
General Accounting:
- Maintain accurate and up-to-date financial records
- Handle accounts payables and receivables processes, including invoice processing, payment processing, and collections
- Assist with reconciliations of bank statements, general ledgers, and other financial documents.
- Assist in the month-end and year-end closing processes, including journal entries, account reconciliations, and financial reporting
- Assist in the preparation of audit schedules and support audit processes.
Payroll Management
- Process and manage the organization's payroll system in accordance with applicable laws and regulations.
- Verify accuracy of timesheets, deductions, and other payroll-related data.
- Calculate wages, salaries, bonuses, commissions, and other compensation accurately and in a timely manner.
- Prepare payroll reports, including tax withholdings, deductions, and other relevant information.
- Maintain payroll records and ensure confidentiality of employee information.
- Resolve payroll discrepancies and issues promptly and effectively.
- Collaborate with HR to ensure accurate and timely onboarding and termination processes
Government Coding
- Accurately classify financial transactions according to government coding principles and regulations
Office Management:
- Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Organize and schedule meetings and appointments
- Maintain office supplies, equipment, and facilities, ensuring a well-organized and efficient work environment.
- Coordinate travel arrangements and accommodations for employees.
- Coordinate with IT department on all office equipment
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
- Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise
- Participate actively in the planning and execution of company events
- Manage contract and price negotiations with office vendors, service providers, and office lease
- Manage communication channels, including emails, phone calls, and official correspondence.
- Supervise administrative staff and provide guidance and support as needed.
- Coordinate travel arrangements and accommodations for employees.
- Assist in the organization of company events, conferences, and meetings.
- Implement and maintain office policies and procedures.
- Provide general support to visitors
- Coordinate with IT department on all office equipment
- Partner with HR to maintain office policies as necessary
- Monitor and maintain office supplies inventory
- Review and approve office supply acquisitions
What you bring to the role:
- Degree in Accounting or equivalent experience
- Previous experience in a similar role, preferably with government coding and payroll responsibilities.
- Experience in working under Government Contracts a plus
- Cost Accounting Standards/FAR Parts 30 & 31 a plus
- Experience with DCAA Audits a plus
- Proficiency in payroll processing systems and software.
- Government contract compliance (accounting & estimating) for all contract types a plus
- Service Contract Act (Wage Determination; fringe benefits)
- Experience in working in the Aviation industry a plus
- Exceptional attention to detail and accuracy.
- Effective communication skills, both written and verbal
- Strong leadership qualities & excellent interpersonal skills.
- Sound knowledge of accounting fundamentals (GAAP, revenue recognition, etc.).
- Proficiency in accounting software (Unanet).
- Proficiency in ADP Workforce Now payroll platform
- Analytical skills.
