Currently, we are recruiting for a Senior Project Manager to join our team. The Senior Project Manager develops and directs project management operations to meet organizational goals. Provides overall strategic governance for projects by establishing standards, processes, and tools used for effective project delivery. Oversees the work of a team of project managers for exhibition and programmatic initiatives to ensure that projects stay on schedule to meet deadlines, set and track budgets, manage risks, coordinate staff and internal resources, and collaborates with colleagues to ensure that all touchpoints along the visitor journey serve our mission and brand promise. The Senior Project Manager will establish methodologies to set productivity and quality targets and to assess results for all initiatives. 

This position regularly engages with staff, vendors, visitors, volunteers, members, and colleagues in a personable and respectful manner. 

Located in the heart of San Francisco, the Asian Art Museum is home to one of the world’s finest collections of Asian art, boasting more than 18,000 inspiring artworks ranging from ancient jades and ceramics to contemporary video installations. Dynamic special exhibitions, cultural celebrations, and public programs for all ages provide rich art experiences that unlock the past and spark questions about the future.

ESSENTIAL FUNCTIONS 

  • Manages a team of project managers to ensure they are properly developing and managing scope, schedule, budgets and estimates, and identifies resources needed for exhibition projects. 
  • With limited oversight, simultaneously manages multiple large and major exhibition projects from initial planning and design through construction and installation. 
  • Updates key project documentation throughout each project.  
  • Creates protocols for project management and reports related to progress, budget, and schedule, developing risk mitigation strategies at all phases. Continually reviews and improves existing processes: Produces, manages, and refines project planning tools, templates, and document storage/access. Documents processes and shares across organization to optimize cross-departmental collaboration.  
  • Schedules and hosts cross-functional project meetings across multiple departments and divisions, managing overall project communication and coordination. 
  • Tracks project deliverables from content, design, exhibit fabrication, and general construction against project requirements (e.g. scope, timelines, budget) from initial planning through completion. 
  • Leads project planning teams; facilitates brainstorms and team meetings. Ensures project-specific meetings are held with appropriate stakeholders to develop content, resolve problems, review status, and share information. 
  • Responds to escalated project issues that may impede project delivery coordinates solutions.  
  • In collaboration with museum staff, and the Director’s Office as needed, manages the process of executing contractual agreements between the Asian Art Museum and other parties, including other museums, artists, organizations, and/or vendors; facilitates contract completion and compliance. 
  • Manages project budgets. Depending on specific role, may support the creation and tracking of fiscal year budgets; monitor expenditures and transactions; process contract payments and invoices, identify savings, create expense reports; and serve as a liaison with the Finance department. 
  • Manages and reviews work of staff and team members, while coaching and mentoring them for success.  Supervises staff, providing direction, mentoring, and coaching. Supervises volunteers and interns as necessary.  
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies.   
  • Acts as a trusted advisor and coach to staff, helping to build empathy and cultural competence with the goal of improving management of a diverse workforce. 
  • Establishes and nurtures strong working relationships with museum staff, colleagues from other institutions, consultants, and vendors.    
  • Performs other duties and projects as needed.  

 

MINIMUM QUALIFICATIONS 

  • Bachelor of Arts degree in the humanities plus five (5) years of professional project management work experience. Previous museum experience a plus; or an equivalent combination of education, training, and experience. 
  • Exceptional project management and organization skills. 
  • Technical proficiency with standard suite of applications (Outlook, Microsoft Word, Excel, PowerPoint, etc.) as well as tools and applications related to project management (Smartsheet, Trello, Basecamp, SharePoint, basic aspects of image management and collections database management, etc.). Capacity to quickly learn new tools and platforms as technologies evolve. 
  • High level of analytical, research, team building, and problem-solving skills. 
  • Excellent written and oral communication skills with special attention to diplomacy and tact; strong copywriting and copyediting skills. 
  • Must be flexible, resourceful, and collaborative; expected to demonstrate initiative, positivity, and creativity with projects. 
  • Possesses excellent prioritization and follow-through skills. Works with extreme accuracy and attention to detail.  
  • Works collaboratively, honors multiple perspectives at once, and unites teams around common goals. Establishes and nurtures positive, cooperative, and effective working relationships with museum staff, colleagues from other institutions, consultants, and vendors. 
  • Displays sound judgment, tact, and discretion.  
  • Demonstrates a commitment to diversity, equity, access and inclusion principles and practices; experience within a museum environment is a plus. 
  • Ability to work under time constraints and meet tight deadlines. 
  • Ability to work occasional evenings and weekends as necessary.

Standard museum and office environment.

Compensation: The Asian Art Museum is committed to practicing salary transparency. The minimum salary for this position is $80,000 and the maximum salary is $87,500. Salary is competitive and commensurate with experience. This opportunity includes a generous benefits package.
