We are seeking a Maintenance Administrator in a plant that manufactures auto parts plays a crucial role in ensuring the smooth operation of the plant’s machinery and equipment. Their primary responsibility is to support the maintenance team in various administrative and organizational tasks, helping to minimize downtime and maintain production efficiency.

This role is a blend of administrative expertise with a solid understanding of maintenance operations to ensure that the plant runs smoothly and efficiently. A Maintenance Administrator supports the proactive maintenance of equipment, which is essential for minimizing disruptions and maintaining productivity.

Responsibilities

  • Maintenance Scheduling and Coordination: They organize and schedule maintenance activities, ensuring that preventive and corrective maintenance is performed timely to minimize machine downtime. This involves coordinating with maintenance supervisors, engineers, and production teams to plan maintenance around production schedules. Create work orders for mechanics, subcontractors, and vendors, and ensures timely completion. Maintain the monthly on-call schedule maintenance for Facilities & Technical Services. Enter service requests and converts them to work orders using IQMS. Enter emergency work orders and evaluate the calls/requests to determine the urgency and enter appropriate work orders & dispatch the technicians. Enter appointments / schedule technicians to complete monthly work orders and maintain the database by updating asset information as needed. Maintain the maintenance planning database by recording equipment history, parts, tools, supply inventories, and crew information.
  • Record Keeping: Maintenance Administrators are responsible for maintaining accurate records of all maintenance work, including repairs, replacements, services, and inspections. This data is crucial for tracking maintenance history, planning future maintenance, and ensuring compliance with safety and quality standards. Serve as the first point of contact for all visitors to the department for document control and maintenance training matrix.
  • Inventory Management: They manage the inventory of spare parts and maintenance supplies. This includes ordering new supplies, tracking inventory levels, and liaising with suppliers to ensure that critical parts are available when needed.
  • Use of Technology: Maintenance Administrators need to be proficient in using computer systems, including maintenance management software (CMMS), databases, and office productivity software. They also need to be capable of adapting to new technologies that improve maintenance tracking and efficiency.
  • Documentation: They prepare and manage documentation related to maintenance procedures, machine manuals, and safety protocols. Ensuring that all documents are up to date and easily accessible is key for supporting the maintenance team’s effectiveness. Prepare cross charges for overtime, materials, etc., as required. Prepare and assist manager/supervisors in maintaining spreadsheets. Maintain preventative maintenance database, by updating asset information as needed. Maintain the monthly on-call schedule maintenance for Facilities & Technical Services.
  • Budgeting and Cost Control: Maintenance Administrators may assist in budget preparation for the maintenance department. They track maintenance costs and work to optimize spending on repairs and parts. Handle the department KPI’s reconciliation monthly, tracking & entering receipts. Track department expenses against budget.
  • Reporting: They compile reports on maintenance activities, downtime, and costs, which help management make informed decisions about plant operations and equipment investments. Prepare various reports, as requested to support the business needs.
  • Compliance: Ensuring that maintenance operations comply with safety and environmental regulations is part of their role. This includes helping to coordinate training sessions and safety drills. Ensure that Safety, Quality, and Environmental policies are communicated to and applied by all employees.

Skills & Experience

  • Experience in Maintenance or Manufacturing: Prior experience working in a maintenance department, or a manufacturing environment can provide practical knowledge of the processes and challenges involved.
  • Administrative Experience: 3 years' experience in administrative roles, especially those involving scheduling, record keeping, or inventory management, is highly beneficial.
  • Organizational Skills: Strong organizational and planning skills are crucial for managing maintenance schedules, inventory, and records efficiently.
  • Technical Knowledge: A basic understanding of mechanical and electrical systems helps in understanding the maintenance needs and processes of the plant.
  • Computer Proficiency: Skills in maintenance management software (like CMMS – Computerized Maintenance Management Systems), Microsoft Office (e.g. Word, Excel, PowerPoint, Outlook, Teams, Project, Power BI), MS Power Apps, Google applications, ERP, etc. and database management are essential for scheduling, documentation, and reporting.
  • Communication Skills: Effective communication is key for coordinating with maintenance staff, suppliers, and management. Being able to clearly convey information and facilitate meetings is important.
  • Problem-Solving Skills: The ability to identify issues quickly and propose effective solutions helps in managing the unexpected challenges that can arise in plant operations.
  • Attention to Detail: Accuracy is important in managing inventories, maintaining records, and ensuring compliance with maintenance schedules and safety regulations.
