Position Summary:
This position maintains Associated Student Body (ASB) and scholarship trust accounts and serves as the athletic department secretary. As ASB Comptroller, the position monitors the work of the ASB treasurer, receives and writes receipts for money, processes purchase orders, reconciles bank statements and handles related accounting transactions. The position provides assistance and account information to students and staff, processes the accounts payable for the ASB fund, and communicates with vendors. The position promotes positive public relations for the district.
Primary Responsibilities/Duties:
- As ASB comptroller, performs a variety of accounting and finance functions in close collaboration with the District Business office staff.
- Maintains all ASB financial records. Monitors account balances and expenditures. Prepares and reconciles budget printouts from the District Office. Post receipts and expenditures to proper accounts.
- Oversees bookkeeping for ASB fees, fines, fund raising and event activities including concessions, admission/gate receipts. Prepares change boxes. Receives, writes receipts for, counts and verifies money. Reconciles accounts. Prepares bank deposits and takes deposits to the bank.
- Maintains checking accounts to include issuing checks, reconciliation of accounts, and submitting documentation for reimbursement from ASB fund.
- Maintains and monitors credit card machine transactions.
- Coordinates requisitions, purchase orders and procurement card transactions for ASB. Obtains appropriate signatures and documentation.
- Works closely with ASB officers, ASB advisors, and athletic coaches to monitor their account balances and expenditures. Assists Athletic Director and school administrator in advising/training staff, students, and game workers regarding ASB financial procedures. Monitors the work of the Student Body Treasurer.
- Enters high school revenues and invoices into computer system. Prepares a variety of financial reports.
- Maintains and reconciles petty cash funds.
- Maintains and monitors scholarship trust funds to include receiving funds and issuing awards to colleges and universities.
- Assists District Business Office with year-end audit. Prepares year end closing entries and meets with auditors as necessary to provide records, reports, information, and explanations.
- Assists Athletic Director and ASB advisor with budget preparation.
- Supports management of the high school facilities calendar
- Performs secretarial duties for the Athletic Director and assists in coordinating activities, fundraising, events scheduling and reporting to the media.
- Assists the Athletic Director and school administrators in maintaining the activity and events schedule calendar. Processes and distributes sport events schedules and related materials.
- Composes, formats, processes, edits and proofreads correspondence, schedules, reports and other documents.
- Answers telephones and responds to telephone, written and in-person inquiries. Receives and processes mail.
- Assists the Athletic Director in monitoring student eligibility for each sport.
- Maintains department records and files to include student records for athletic letters.
- Provides other clerical/office support as needed.
- Assists with fines assessed to students for withdrawals and develops payment schedules.
- Attends training workshops as required.
- Performs other related duties as assigned.
Qualifications:
Education/Experience:
- High school diploma or equivalent with training in accounting/bookkeeping procedures.
- Three years increasingly responsible accounting/bookkeeping and general office/secretarial experience required.
- School district accounting experience preferred.
- Criminal Justice Fingerprint/Background Clearance (Employee's expense)
Knowledge/Skills/Abilities:
- Knowledge and ability in general office management and clerical practices and procedures.
- Knowledge of general bookkeeping procedures; ability to set up and maintain account spreadsheets and ledgers.
- Knowledge or ability to learn district and state ASB bookkeeping procedures.
- Ability to use and stay current with standard office technology, including office machines, computer, and financial and word processing software programs.
- Keyboarding, editing, data entry and formatting skills.
- Regular and reliable attendance is required.
- Ability to calculate figures and amounts, such as discounts, interest commissions and percentages.
- Skill in operating a ten-key calculator by touch.
- Ability to set up and maintain accurate electronic and hard copy filing systems.
- Ability to organize and set priorities and meet deadlines.
