Office Admin Assistant
Job Duties:
- · Order and Invoicing Management: Handle all paperwork to manage orders from customers, including delivery coordination with warehouse and drivers, making delivery appointments with clients, tracking delivery status and responding to any changes, invoicing customers accordingly, tracking payments status.
- . Data Entry: included but not limited to inventory entries, ensure all inbound and outbound shipments are accurate and updated on the same business day.
- · Reimbursement and Bookkeeping: receive reimbursement requests from the full team, prepare necessary paperwork for CEO’s approval, distribute checks to individuals, reconcile transactions on QuickBooks.
- · Office Management: ensure office is clean at all times, all supplies are in place, and make purchases as needed.
- · Team Support: plan and execute team activities; provide support to the team including materials, communications, coordination as needed.
- · Task Management: Coordinate and track projects for the full team, provide support as needed, ensuring seamless coordination and execution.
- · Travel Coordination: Handle all travel coordination and scheduling with precision.
- · Administrative Support: Answer phone calls, take messages, draft and edit documents, manage electronic files and templates, taking company minutes, and provide general administrative assistance as needed.
- · Special Projects: Undertake special projects as directed, showcasing your versatility and dedication.
Qualifications/Skillset Desired:
- · Extensive Experience: A minimum of 3 years of experience in a similar role, demonstrating your proficiency in admin support
- · Detail-Oriented and Organized: High attention to detail and excellent multitasking skills for effective project management and organization
- · Tech-Savvy: Proficiency in Microsoft Office programs, including Word, Outlook, Excel, and PowerPoint, and database management. Must have some knowledge of QuickBooks.
- · Educational Background: A minimum of Bachelor's degree
- · Effective Communication: Excellent written, verbal, and interpersonal communication skills for seamless collaboration
- · Versatile and Organized: Effective multitasking, strong organizational skills, and adaptive to varying demands

The founder, Jenny, after a few years in learning about the manufacturing business, was accepted as a research fellow at Harvard University. After completion of her research, Abide was born. Jenny, as a wife and a mom, continues to pour out her knowledge and passion in the sustainability industry, striving to provide affordable eco-products for local communities. Our little brand are in Walmart, Foodland, Times, Don Quijote, Marukai, Tamura's, Waianae and ChefZone stores. Thankfully, we have a great team and continue to grow each year with new market expansions.

Pay: $41,600.00 - $52,000.00 per year
