Salary Range: $55-$62K, this is an hourly position with an hourly rate of $26.50 - $30.00
SCHEDULED WORK HOURS: The Operations Assistant is a full-time non-exempt position (40 hours per week), Monday through Friday, 8:30 AM 5:00 PM.
IMMEDIATE SUPERVISOR: Assistant Director of Operations
GENERAL RESPONSIBILITIES:
The Operations Assistant is responsible to ensure the day-to-day upkeep of the Organizations physical facilities. The Operations Assistant communicates regularly to his/her supervisor regarding projects to be scheduled and completed, work to be accomplished by self or others, and estimated costs. The Operations Assistant will inspect facilities for safety, most efficient repair, and preventive maintenance.
- Utilize software to manage and organize the various projects and department needs. Projects include the ability to reach roofs, ceilings, gutters, attics via ladder. Plumbing projects include the ability to work under cabinets, and crawl spaces which may require kneeling for short periods of time.
- Monthly inspections of all physical facilities and major pieces of equipment including determining approximate costs for repair/maintenance, make priority recommendations and consult with supervisor to determine actual plan of action for repair/maintenance
- Conducts preventative maintenance tasks
- Completes assessment of fixed assets / existing equipment
- Monitor physical plant and the health and safety needs for the environments for the residential and commercial locations
- Ensure that the lighting, heating, air conditioning and ventilation systems are operating properly to provide good working and/or living conditions for occupants.
- Coordinate system repairs / maintenance including completing repair/maintenance of facilities according to plan as developed, recommend, and communicate with outside contractors as necessary (outside contractors will only be engaged with express consent of immediate supervisor), communicate progress of repair/maintenance with immediate supervisor as necessary, and monitoring future performance of the repair/maintenance.
- Oversee and supervise a team of maintenance technicians.
- Execute equipment audits and record taking/keeping policies.
- Perform landscaping including snow plowing and shoveling.
- Obtain and record tasks in Abilis work order system.
- Provide support for fleet maintenance and traffic control
- Perform on-call duties for after hour emergencies.
- Other duties include
- To schedule repairs and communicate repairs to be completed with individuals working within facilities. For example, house manager of a particular group home; manager of Gardens & Gift Shop for repairing gift ship facilities, etc.
- To maintain safety standards and to report to immediate supervisor (chairman of safety committee) and irregularities in safety practices, use, or dangers within any agency facilities.
- To maintain petty cash system. To purchase (charge or cash) items or supplies which are necessary to effect repair/maintenance and communicate future needs to immediate supervisor.
- To maintain assigned vehicle, tools, and work areas in neat and orderly fashion, maintaining appropriate control over tools and supplies.
- Closing working relationship with Director of Operations, Chief Operating Officer, President/CEO, Program Directors, Unit Coordinators, and House Managers
MINIMUM QUALIFICATIONS:
- Education High School Diploma or equivalency.
- Substitution for Education - If experience / training requirements are met, employee must demonstrate and ability to communicate verbally and in writing in lieu of high school diploma.
- Experience: At least 3 years successful experience in position of building maintenance/handyperson or as skilled laborer in construction field. Must demonstrate abilities in area of electrical, plumbing, painting, carpentry, and other building trades.
- Substitution for Experience Successful completion in apprenticeship in building trades may be substituted for one year of experience in construction or building maintenance trades.
- Special Qualifications: Valid drivers license and good physical condition, capable of lifting at least 75 lbs.
QUALIFICATIONS:
- General knowledge of building and home repairs including electrical, plumbing, light carpentry, painting, as well as transport and delivery of furniture.
- The ability to move or lift objects up to 75 lbs.
- Strong troubleshooting skills with the ability to make required repairs.
- Ability to organize and manage multiple priorities.
- Ability to work in a team environment as well as independently on assigned projects and complete the projects in a timely efficient manner.
- Available to perform on-call duties for after hour emergencies.
- Coordinate with the Director of Operations on the implementation of new building projects.
- Ensure compliance with all safety and security protocols including ADA/State, Federal regulations.
- General understanding of budgeting and accounting.
- General knowledge of Outlook, Excel, Word, Power Point
- Proficiency with work order systems a plus.
