Job Summary:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support, handle office tasks, and assist with ensuring smooth operations within the organization.
Responsibilities:
- Receive, direct and relay telephone messages and fax messages
- Support staff with data entry in our Electronic record system.
- Provide excellent customer service to any clients/staff that come into facility.
- Manage staff personnel files and audit them regularly to ensure compliance
- Direct the general inquires to the appropriate staff member
- Communicate with MCO's about client eligibility and active status
- Complete weekly billing spreadsheet for all programs served by the Richmond Office
- Submit faxes for release of information and PCP/CSB notifications within 30 days of admission
- Create new client files and report to Operations Director regarding any missing intake documentation
- Take minutes and attendance for staff meetings and conference calls and send to Operations Director
- Coordinates with Operations Director with regarding program expectations and quality assurance
- Oversees the receipt of progress notes and reports weekly and provides feedback to QMHP staff if corrections are needed
- Perform monthly quality assurance audits of personnel records at the direction of the Operations Director
- Pick up and deliver mail
- Provide word-processing and administration support as needed
- Perform human resource duties to include scheduling interviews, trainings and orientation activities for employees; filing personnel documentation; perform reference checks; and distribute paychecks
- Complete monthly Medicaid Eligibility and OIG Exclusion checks according to deadlines and report to Operations Director
- Drop off new hire background checks to the appropriate department and follow up on the status of submitted requests
- Conduct portion of new employee orientation related to general office operations
- Assist in scheduling appointments and meetings
- Provide customer service in person and over the phone to visitors and employees
- Ensure main areas of the office are neat at all times
- Other duties as assigned in accordance with daily functions of the agency
Skills:
- Proficiency in Google Suite applications
- Experience in event planning
- Ability to transcribe and computerize information accurately
- Strong organizational skills with attention to detail
- Knowledge of office management procedures
- Prior experience in administrative tasks
- Familiarity with order entry systems
- Excellent customer service skills
- Familiarity with phone systems for handling calls efficiently
