Job Title: Facilities Manager
Reports to: Deputy Director
Direct Reports: Facilities Coordinator
Position Overview: The Facilities Manager ensures the overall maintenance and management of the facility by attending to general maintenance, building management, janitorial and security needs. The Facilities Manager works with the Deputy Director to implement, monitor, and maintain safety and security procedures for all staff, volunteers, and visitors.
Focus Area 1. Facility Maintenance
Success Statement: The overall facility footprint runs well, without interruption to services.
- Understand, monitor, and maintain the building automation control system.
- Effectively manage a preventative maintenance schedule.
- Quickly respond to maintenance needs, ensuring that downtime is minimized.
- Oversee maintenance of building entries, ramps, and walkways.
- Coordinate, oversee, and directly conduct facility maintenance activities, including HVAC, electrical, plumbing, mechanical, painting, and carpentry, with staff and/or outside contractors to ensure work is completed in a timely manner.
- Keep track of inventory, maintain custodial supplies, and replenish as needed.
- Ensure quality control for contracted janitorial services.
- Participate in building the facility maintenance and oversight plan for the future Louisiana Music Museum.
- Collaborate with the Performing Arts and Production Departments to ensure the highest level of facility quality within the James D. Moncus Theater, participating in seating rearrangement as needed.
- Oversee all other facilities aspects including the warehouse space.
Focus Area 2. Facility Safety and Security
Success Statement: The AcA facility is safe and secure.
- Maintain the security of the building by monitoring alarm systems, installing, and maintaining security cameras, and ensuring all perimeter doors and locks are functioning.
- Coordinate with the Operations Team regarding any security breaches to the building and implement remedies to address the breach for future building security.
- Ensure compliance with fire and safety codes in all areas, including safe storage of materials, maintenance of fire detection, and prevention systems, and ADA accessibility.
- Implement and train other staff on safe practices in accordance with OSHA and other regulators.
Focus Area 4: Facilities Department Management
Success Statement: The Facilities Department is well organized and efficiently operates within budget.
- Prepare estimates for maintenance of the building and send them to the Deputy Director for review.
- Submit annual Facilities budget items to the Deputy Director for review.
- Identify maintenance equipment and supply needs; secure as needed within budget.
- Track and manage warranties for all equipment under warranty.
- Keep Facilities Department equipment, supplies, and furniture organized.
Focus Area 4: Workplace Relationships
Success Statement: AcA has a cohesive team that supports one another and the mission of the organization.
- Report to the Deputy Director.
- Manage part-time Facilities Coordinator.
- Manage task workflow of outsourced and in-house facility personnel and contractors.
- Conduct or oversee specialized repairs and maintenance when these projects exceed other AcA staff’s skill levels or expertise, as appropriate.
- Ensure that contractors are competitive and ethical in their relationship to AcA.
- Work with leadership to set and follow budgets for facility maintenance and larger projects.
- Work in coordination with all departments to ensure a level of excellence with how the facility presents itself for all performances, rentals, and other uses.
- Prepare for and participate in regular staff meetings and training.
- Prepare for and participate in committee meetings and board meetings, as requested.
- Other duties or special projects as requested by the Deputy Director
Qualifications
- Three years’ experience in plant management, experience with demonstrable skills in staff supervision and facilities management including HVAC, plumbing, and electrical systems.
- Background in mechanical engineering is highly desirable.
- Aptitude addressing and resolving issues and situations which are potentially hazardous or which may cause loss to the organization.
- Ability to walk, stand, maintain balance, climb ladders, crouch, lift up to 50 pounds, bend, stoop, and reach above shoulder level.
- Willingness and ability to learn new forms of technology/platforms/applications related to duties
