You are:
A Contract Associate Manager who will provide support to the Contract Management team to enable the administration of U.S. Federal government contracts in accordance with company policies and procedures, applicable laws, and customer requirements. Responsible for tracking and monitoring contract changes, correspondence, and risks, signature processing, contract data, and maintaining associated contract management deliverable documentation.
The work:
- Responsible for adhering to the requirements set forth in the AFS Contract Management Manual
- Participates on MAS/GWAC Contract Management team to support contract compliance
- Supports contract data input into the finance and contract management systems of record
- Supports data call responses
- Generates reports required to monitor contract compliance and complete CM Deliverables
- Performs the following independently while under management supervision when assigned to a contract:
- Responds to inquiries regarding contract obligations and revisions
- Identifies risks and issues, suggests alternatives that lead to the best solution
- Reviews and manages contractual obligations of the parties and provides continual review to ensure that all terms and conditions are met
- Prepares and disseminates information regarding contract status, compliance, modifications, etc.
- Responsible for ensuring contract data input is entered timely into the finance and contract management systems of record
- Responsible for documentation and implementation of CM processes including Contract Awareness, Contract Records Management, Contract Change Control, Client Data Protection, Client Notices, and related compliance functions
- Acts as the primary with Legal Services, ensuring that all legal and contractual matters are addressed efficiently and promptly
- Provides negotiation support as required
- Acts as liaison between AFS and clients
- Identifies contract management issues and proposes solutions for approval
- Responsible for resolving issues to which they are assigned
- Support proposal efforts such as obtaining documentation CM is assigned to gather in response to the solicitation, coordinating with Pricing team, coordinating submission with the Proposal Team, etc.
- Works with MAS/GWAC Contract Management team to support compliance with GSA MAS contract and GWAC clauses and terms and conditions
- Prepare contractual reporting requirements in a timely manner for GSA MAS contract sales, Industrial Funding Fee (IFF), GWAC Contract Access Fee (CAF), and NIH Contract Access Fee (NCAF). Prepare check requests, routing check requests for approval and monthly or quarterly payments
- Responsible for preparation and support of contract audits or assessments
- Performs data patrols required to monitor contract compliance
- Responsible for ensuring that where Contract Management is deployed, contract compliance is maintained, and issues resolved. If the contract is not complied with or issues are not resolved, they must be promptly escalated to their Contract Management line manager
- Must have excellent customer service skills and the ability to communicate effectively with a variety of internal and external customers at all levels
- Ability to multi-task in a fast-paced environment
- Assist with procedures and best practices that improve efficiency and success. Maintains and updates procedural documentation for continuous improvement and streamlining of reporting processes to ensure compliance.
- Participates in external contract kick-off meetings and program management reviews
- Participates in special projects as required
- Other duties as assigned, including support overall contracting functions
Here's what you need:
- 4-year College degree or 8 years of experience
- 4 years of relevant experience in full lifecycle for federal contract management
- Advanced Proficiency using Microsoft Office applications (e.g., Excel, Word, PowerPoint) and SharePoint
- Understands basic federal contracting principles with knowledge of FAR and DFAR
- Must be a U.S. citizen
- Must be eligible to obtain a public trust

- Working knowledge of General Services Administration (GSA) Multiple Award Schedule (MAS) contracts, Government-Wide Acquisition Contracts (GWACs)
