The Administrative Program Assistant will support the Grants and Sponsored Programs office in developing, organizing, and sustaining the goals of the grant as well as the mission of the college in developing, organizing, and sustaining the mission of the college. The Administrative Program Assistant will adhere to the policies as specified by the Alabama Community College System Board of Trustees and the Drake State Community and Technical College Faculty and Staff Handbook. Salary: Appropriate placement on the Alabama Community College System Board of TrusteesSalary Schedule E3, Grade 4Salary Range $38,215 - $53,976 (12 months, Non-Exempt) Salary step placement is based on experience per Drake State’s practice for awarding salary step credit. Work Hours: 8:00 am - 5:30 pm Monday - Thursday and 8:00 am - 12:00 pm Friday
EXAMPLE OF DUTIES
The Administrative Program Assistant shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees, the Drake State Community and Technical College Faculty and Staff Handbook, and the provisions stipulated in the grant.Provide clerical support for the Grants officeSchedule and arrange all meetings, appointments, and travel plansAssist with monitoring grant progress over timeProvide general secretarial and clerical assistance, including typing correspondence Receive and handle communications, including electronic communications, correspondence and telephone calls Assist the assigned office in implementing strategies to ensure accuracy, quality, and effectiveness in data collection, evaluation, and disseminationDemonstrate strong verbal and written communication skillsSubmit reports to supervisor as requestedAssist with conference and event planning and event organizationOrder and maintain materials and suppliesMaintain files for pending purchases and track backorders, receive and distribute supplies, receive invoices and process through the Business OfficeDocument and maintain participant information and grant reports Maintain departmental records for students who receive loaner IT equipment/supplies Retain and submit documentation as requested to support grant implementation, accountability, and accreditation effortsPerform other work-related responsibilities as assigned by the Director of Grants and Sponsored Programs and/or PresidentJob description may be modified or altered at any time by management.
