JOB SUMMARY
The Center Coordinator is primarily responsible for the successful onboarding and management of new clients while working in close collaboration with the Welcome Center Client Operations Team. The center coordinator will closely follow new employees in their onboarding journey and align and/or match new clients with their care team by creating initial schedule. In addition, the Center Coordiantor will manage and monitor client utilization and schedule optimization. The Center Coordinator will manage the front desk administrator who among many tasks will be responsible for rescheduling missed or canceled appointments. The Center Coordinator will ensure the center is clean, safe and meets all standards as set and look for opportinites to improve center operations. The Center Coordinator will support the clinical operations team and SLADAM by ensuring there are open channels of communication, updates and information in addition to supporting ACES culture and creating a work place where the ACES culture thrives. This position reports to the SLADAM/RD.
ESSENTIAL JOB RESPONSIBILITIES
Working under the supervision of the SLADAM, essential job responsibilities include, but are not limited to:
Implementing department policies and procedures and ensuring all activities follow applicable contract standards, laws and regulations;
Conducting initial intake/registration and center tours for all new clients that are members of health care service plans accepted by ACES;
Handles conversations with caregivers regarding common service inquires and escalates concerns as needed;
Providing client support in the form of personal intervention and assistance to help secure benefits and coverage for Applied Behavior Analysis (ABA) services under applicable health care service plan contracts;
Ensuring all client service authorizations are up to date;
Ensuring all functional behavior assessment (FBA) reports and progress reports are submitted to health care service plans to ensure compliance with respective health care service plan authorization policies;
Ensuring the information contained in ACES’ practice management software is accurate and up to date, efficient, and in compliance with all rules and requirements imposed by each respective health care service plan;
Supports hiring, onboarding and training by assisting new employees in completing paperwork, providing center tours, running orientation sessions;
Enhances new hire training by scheduling field overlaps by pairing new hires with appropriate sessions to gain further knowledge and skills;
Supports clinical operations team by keeping team updated on client/BI concerns related to scheduling and provides key feedback to clinical supervisors as observed in the center;
Looks at optimization of schedules to improve prescription fulfillment;
Trains and supports Front Desk Administration in rescheduling activities and workflows;
Plans and hosts culture events in center and supports quarterly all staff meetings by suggesting training topics, obtaining refreshments if necessary, setting up for trainings and tearing down;
Supports the upkeep/maintenance of the center;
Monitors phones, messages, and moves information to the appropriate person(s)

REQUIRED QUALIFICATIONS
Ability to work independently with only general supervision
Minimum Bachelor’s Degree
Proficiency with MS Office, word processing, spreadsheets, Internet software, E-mail, Database software, project management software
Highly organized
Professional, positive attitude and appearance
Excellent communication skills
PHYSICAL REQUIREMENTS
Ability to exert up to 10 pounds of force and lift/move up to 15 pounds
May include, without limitation, the following physical demands: sitting, typing and viewing a screen(s) for long periods of time
