We are looking for an Executive Assistant/Office Manager to join our Talent Operations team in New Haven, Connecticut.
Your Impact
This role is responsible for office management in a regional office and to provide administrative support to senior executives. The Office Manager/Executive Assistant (OM/EA) serves as the "face of AF" in our co-located office spaces. The OM/EA will work closely with the Executive Assistant to the CEO and the Chief of Staff to coordinate calendars and prioritization across the C-Suite. The Connecticut office management duties represent 50% of the role, and the remaining 50% of the role will be filled with executive support to the Chief Human Resources Officer, Chief Financial Officer and Chief Equity Officer. This position is 100% in person in our New Haven, CT office; the support provided to senior executives who may or may not be based in the Connecticut office.
Reporting directly to the Senior Director, Talent Operations, your responsibilities will be:
- To provide high quality, executive-level administrative support to executives. This support is primarily: (1) management and maintenance of calendar and scheduling system for each executive and (2) expense management and travel support. This includes scheduling meetings, reviewing, prioritizing, and responding to incoming requests, appointments, protecting work blocks, coordinating travel and logistics, balancing against personal obligations, auditing for conflicts, and anticipating and resolving potential issues and as time allows, additional support may include preparation of briefs, presentations, agendas, memos and other documents to ensure the executive(s) are informed and prepared for any meeting or engagement.
- Manage day-to-day operations of the AF office. This includes serving as the primary liaison with each office's primary (external) office manager and point of contact for AF employees using the office space, allowing access to the office for individuals who are not regular users of the space. This also includes receiving and distribution of mail as necessary; in conjunction with the team of Office Managers, manage company email and main phone messages; and support Team Talent Operations in execution of in-person onboarding tasks such as I-9 verification.
- Plan meetings and events. Manage the successful execution of onsite and offsite meetings as needed in each region well as larger-scale network-wide events, including in-person and virtual board meetings and in-person NS staff meetings. This includes event planning, communication, and managing event budgets, as well as support with editing, finalizing and printing content.
Skills You'll Have
All candidates for this position will have a bachelor's degree, two plus years of prior experience in project management, office management and/or executive support. Additionally, an ideal candidate will have a track record of managing multiple priorities at one time and the ability to prioritize.
In addition, the following characteristics are required to be successful on this team:
- Strong ethics and ability to maintain a high level of confidentiality and discretion
- Experience with Microsoft Office and Google Suite
- Confident in interacting with and influencing individuals at all levels within the organization
- Ability to thrive in a fast‐paced, entrepreneurial environment;
- Flexible, able to work autonomously as well as take direction as needed
- Exceptional eye for detail, follow-up skills, and organization
- Excellent verbal and written communication skills with a proactive communication style

Compensation
Achievement First sets salaries through a lens of equity, and based on the requisite skills, education, and experience relevant to the role. The salary for this position is $71,437. In order to uphold our commitment to equity, Achievement First does not negotiate pay.
