What are the responsibilities and job description for the Parts Clerk position at ACTION PERSONNEL INC?
ENERAL DESCRIPTION: Primarily responsible for assisting the Parts Manager with the daily operations of the Parts Department. Act as a resource for internal and external customers both in person and on the phone. Help increase sales volume while maintaining company’s monthly 30% gross profit goal. Assist company in reduction of expenses to maintain 20% operation profit.
SPECIFIC DUTIES/RESPONSIBILITIES:
- Greet all customers while providing outstanding customer parts.
2. Answer all incoming phone calls within three rings and transfer the call to the appropriate person or department. Answer all pages for phone calls for Parts.
- Open customer parts order invoices for the branch.
- Verify account status
- Secure any needed reference numbers or authorizations from customers.
- Inform customer of earliest availability of items, and cost of sale (part pricing, freight, tax, etc).
- Create and update notes on invoice stating the status of the parts order, payment, pickup, or delivery.
- Ensure that customers updated throughout order process. Advise them when lead times are exceeded or schedules change. Resolve any and all customer issues as necessary.
- Work together with other departments and branches to improve workflow, increase workload, and improve profitability.
- Be present during service scheduling meetings and prepared to provide updates on current back orders.
- Invoice all parts as they leave the Parts Department. Parts are not to be issued to technicians without a work order or truck transfer request. Log all parts transfers in business system immediately after receiving the request form.
- Understand where to obtain answers to inquiries. Be knowledgeable on all parts lines carried by company.
- Process all parts shipments received from vendors. Unpack, verify quantities, stock on shelves, and update bin locations.
- Provide evidence of weekly cycle counts of warehouse & service truck inventory to Parts Manager.
- Work with Parts Manager to maintain core bank and parts returns.
- Participate in branch annual parts inventory.
- Repair, fabricate and customize a/c hoses per customer request.
- Maintain all parts areas in a neat and orderly fashion, including company vehicles.
- Safe operations of company vehicles and equipment. Complete vehicle log book entries during every use.
- Ability to safely operate a forklift and other material handling equipment. Must be able to lift up to 70lbs.
