ActioNet has an immediate opportunity for a Proposal Coordinator located in Vienna, VA. ActioNet is an IT service provider and solutions integrator headquartered in Vienna, VA that partners with the Federal Agencies.
Duties and Responsibilities:
The Proposal Coordinator assists the Proposal Managers in all aspects of proposal development - Requests for Proposal (RFP) analysis, Kick-Off meetings, Daily Status Calls, Proposal Development, Color Reviews, Proposal Production. The Proposal Coordinator is responsible for administering proposal processes, providing guidance and assistance to authors, administering proposal related resources. The Proposal Coordinator plays an important role in the development of 100% compliant, compelling, and winning proposals. Successful Proposal Coordinator candidates should be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, they should always be prepared and responsive, as well as adaptable to new situations.
- Assist Proposal Managers in all administrative functions such as creating proposal templates, outlines, compliance matrices, and production checklists
- Manage proposal content in SharePoint content management system
- Collaborate with Proposal Managers, Capture Managers, Authors, Artists, Program Managers, and Support Leads
- Coordinate proposal schedule and prepare proposal meetings and reviews (invitations, resources, visitors, meals, materials)
- Research and help collect/develop re-usable material for individual authors
- Manage proposal document production (printing, binding, CD Rom creation, shipping)
- Assist Proposal Managers and Proposal Operations Manager with other duties as assigned, for example, metrics tracking, compliance reviews, and quality reviews
- Edit and format documents, as necessary
- Provide weekly reminders to Senior Leadership regarding scheduled presentations and events, as well as pre-meeting responsibilities
- Create and maintain reliable, Deltek CRM-based pipeline reports designed to track and analyze scheduled RFP responses
- Ensure all meeting materials are compiled and printed prior to each Senior Leadership meeting
- Present consolidated meeting materials via ScreenBeam and/or Microsoft Teams
- Interface with ActioNet’s Office Manager regarding scheduling and meeting coordination of the Senior Leadership meeting

Basic Qualifications:
- High school diploma or General Education Degree (GED) required
- Demonstrated understanding of Microsoft Excel, Word, and PowerPoint as well as their functions
- Demonstrated understanding of Microsoft Outlook and Teams and their functions
- Ability to work independently and as part of a team
- Ability to learn new techniques quickly
- Position requires that Proposal Coordinator be physically present to provide support for Senior Leadership meeting(s) as requested or required
- Must be able to multi-task, be detail oriented, have strong organizational, verbal and written communication, and customer relation skills
Preferred Qualifications:
- Bachelor’s degree or equivalent work experience of 1-2 years
- Understanding of Government Proposals (i.e., RFPs, RFQs, RFIs) and the Proposal Response process
- Prior experience working with proposal coordination
- Experience with Data Entry
