Supervisor, Dispatch
This position has a broad range of responsibilities including routing of all orders for the branch deliveries, coordinating delivery schedules and achieving timely delivery goals as established. Oversee all staff members to ensure each task is being completed and operating at maximum capacity.
Job Duties:
- Managing all aspects of dispatch and contract deliver staff. Resource management, shift scheduling, daily assignments, and special projects.
- Responsible for every ticket (delivery, pick-up, service) daily, create sensible routes for each Medical Equipment Technician and ensure all stops were completed.
- Develop and maintain working knowledge of current HME products and services offered by the company and all applicable governmental regulations.
- Address and develop the best process to handle incomplete orders. Communicate this message to all applicable parties.
- Make outbound calls to customers and patient service technicians for scheduling and routing with a focus on extraordinary customer care.
- Partner with teams who enter tickets to deliver extraordinary customer care, communicate any issues, verify delivery details, and create solutions for issues.
- Verify delivery/pick up details and communicate that information to patient service technicians and couriers.
- Ensure that the services provided via the branch location are done so in accordance with all federal, state and local laws, rules and regulations, including but not limited to those put forth by: CMS, PA Department of Health, DOT, FDA, OSHA, and the company’s accreditation organization.
- Regularly, checks delivery fleet for vehicle safety, inspection, and compliance.
- Assist in resolving patient equipment problems under emergency conditions.
- Assist with preventative maintenance, required service checks, and patient/environmental assessment on home respiratory equipment during scheduled visits to patients.
- Assume on-call responsibilities during non-business hours in accordance with company policy.
- Become familiar with all personal safety and infection control practices and procedures.
- Manage O2 cylinders and act as point person for all vendor relationships.
- Implement regulatory and insurance carrier recommendations to reduce work injuries and enhance workplace safety.
- Ensure delivery staff is properly attired and procuring uniforms as needed.
- Maintain patient confidentiality and function within the guidelines of HIPAA.
- Responsible for selection and hiring of qualified staff, ensuring an effective on-boarding, and providing comprehensive training and regular feedback.?
- Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; developing, coordinating, and enforcing systems, policies, procedures, and productivity standards.?
- Establishes annual goals and objectives for the department based on the organization’s strategic goals.?
- Perform other related duties as assigned.

Requirements
Minimum Job Qualifications:
- Associates Degree from an accredited college or four (4) years of HME experience is equivalent.
- Two (2) years of work-related experience in HME warehouse, or management in any industry.
- Exact job experience considered must be management in Health care or HME.
