Availability:  Full-Time, 40 hours/week


Education:  BA or BS in human services area required. Master’s Degree preferred

General Description:

Lead the Access team in, improve admissions, client access and customer services work flow, processes, and policies in support of organizations mission -- specifically, support better admissions, client services and administrative services management. Manage and increase the effectiveness and efficiency of support services, through improvements to each role, function, as well as coordination and communication between support and business functions. Oversee admissions planning, intake coordination and corporate administrative/receptionist services and staff; including any initiatives geared toward operational and customer service excellence. Oversee admissions and administrative client service practices and controls. Completes assessments in the ASAM continuum and ensures clients are entering the proper level of care as identified by the ASAM continuum. As well as supports and provides clinical guidance for clients admitted to The PIER Withdraw Management program. Coordinates with Clinical Director to discuss options for the next level of care as well as other client clinical needs. Coordinates with the billing/authorization departments to ensure reimbursement is properly supported.


Essential Duties and Responsibilities:

  • Organizational Effectiveness
  • Manage admissions and receptionist functions to assure sustainability and fidelity to process standards.
  • Increase the effectiveness and efficiency of support services (maintenance, administrative, quality) through improvements to each function as well as coordination and communication between functions.
  • Organization Leadership
  • Directly oversee and manage the admissions department
  • Direct oversight of admissions and customer service objectives
  • Facilitate scheduled administrative admissions.
  • Contribute to short and long-term, organizational administrative planning and strategy as a member of the management team
  • Communications and Technology
  • Ensure effective internal/external communications within administrative teams and across the organization.
  • Play a key role in maintaining agency EMR administrative modules, measures and outcome reporting
  • Quality Improvement and Assurance
  • Support the efforts of the administrative teams to maintain an agency culture of quality improvement
  • Establish, maintain and monitor the administrative effectiveness and contractual obligations of client files in all programs.
  • Establish audit functions for agency admissions department and client services
  • Other Duties as assigned/required
  • Completes assessments in the ASAM continuum and ensures clients are entering the proper level of care as identified by the ASAM continuum.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations


Daily Tasks:

  • Working knowledge of ethics, confidentiality, professional boundaries, and basic counseling skills.
  • Ability to assist in emergencies and handle crisis intervention
  • General management skills of staff
  • Organizational and good time management
  • Supervision of admissions to all programs
  • Clarification on insurance coverage and how that impacts care provision of care.
  • Other tasks as identified by Chief Impact Officer


Qualifications:

BA or BS in human services area required. Master’s Degree preferred


Required Trainings/Certifications:

  • CPR/First Aid Certification
  • COVID-19 Vaccine
  • LLMSW, LLPC, LMSW, LPC
  • CAADC, CADC, CAADC-DP, CADC-DP (eligible for certification upon hiring)


Skills Needed/Experience:

Knowledge of Substance Use Disorder

Knowledge of the ASAM continuum

2 years of relevant administrative department management experience

Non-Profit Management experience,

EMR systems administration and database management preferred.
