Clinic Surgery Scheduler is responsible for the daily maintenance of the surgery and/or procedure schedule for one or more providers, and all aspects of the scheduling process. This includes strategizing, problem solving and ensuring high levels of customer service. Successful candidate will possess excellent critical thinking, communication and customer service skills as well as the ability to diffuse difficult scheduling conflicts efficiently.
Duties/Responsibilities
- Schedules elective and urgent surgeries and procedures, communicating pertinent information to appropriate departments and personnel regarding patient's surgery.
- Communicates effectively and timely with patients, personnel and providers at all times.
- Schedules and confirms patient's surgical/procedural and appointments, notifying clinic manager of schedule gaps.
- Discuss and counsel patients on surgery/procedure information, guidelines, facility, date, and time of procedure.
- Coordinate information with the hospital/medical facility to ensure proper billing and authorizations for hospital procedures, and ensures appropriate insurance authorization for all clinic-based procedures requiring authorization.
- Arrange surgical assistants, second surgeons, and device representatives when necessary.
- Demonstrates a commitment to providing attention to detail, good communication skills, and high levels of customer service.
- Documents actions in the HER and on paper as needed, per surgery scheduling policies and standard operating procedures.
- Accommodates surgical process by routing physician orders, test results, and clearances to facilities as required. This may include FMLA/Disability paperwork completion.
- Learns and stays current with surgery/procedure scheduling protocols for multiple physicians, including surgical equipment and hardware preferences.
Minimum/Required Qualifications
- High School Diploma or GED
- 6 months clerical experience in a healthcare/physician office setting
Preferred Qualifications
- Knowledge of medical terminology and ICD-10 coding
- Highly preferred; Certified Medical Assistant or LPN
