POSITION TITLE: Administrative Assistant

REPORTS TO: Regional Director

SUPERVISION EXERCISED: None

LOCATION: Detroit, MI

GRADE/CLASS: Grade B, non-exempt, non-union; part-time (30 hours per week)

PRIMARY FUNCTION:

Assist the regional director and the other members of the Michigan Regional Office with a broad range of administrative support, particularly for the office’s educational efforts.


Primary:

  • Create and fine-tune contact databases including donors, law enforcement, area clergy and community organizations. Maintain robust databases.
  • Process donations and prepare acknowledgement letters and other correspondence (working with other ADL staff members). Maintain donor management database entries (routinely update and correct records when needed.)
  • Assist the regional director in tracking checks, schedules, etc. Create reports and power point presentations as needed; compose newsletters and eblasts.
  • Assist with Regional Advisory Board communications: Board reports, meeting schedules, coordination, etc.
  • Answer phones and field questions to the proper team members. Answer questions about regional office activities.
  • Coordinate holiday cards and special letters; prepare materials as needed for community and fund-raising events.
  • Handle administrative details associated with lay leadership committees. (i.e., prepare and distribute notices, agendas, minutes, etc.)
  • Other duties as assigned by the Director of Development or his/her designee.

Skills:

  • Proven ability to work with a wide variety of people. Professional demeanor.
  • Strong organizational skills and ability to multi-task. Ability to keep cool under pressure.
  • Proficiency in Micr=p0osoft Office Suite software, including Word, Outlook and Excel.
  • Familiarity with databases (Salesforce, Lucid Press) preferred, but ability to learn systems quickly is essential.
  • Robust knowledge of standard office equipment operation, e.g., fax machine, telephones and photocopier.

Work Experience:

  • A minimum of one to two years of experience in an administrative position.

Education:

  • An Associate degree or High School diploma plus equivalent responsible work experience is required.

Work Environment:

  • ADL COVID-19 Protocol (updated periodically): ADL is adhering to public health guidance regarding COVID-19. ADL will require that all employees are vaccinated with exceptions for medical and religious accommodations. ADL is requiring proof of vaccination. ADL is a hybrid environment; this role may require 3 days in the office.

Compensation:

  • This position has a salary range of $30,000 to $39,000. This salary range is reflective of a position based in Detroit, MI. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
