Administrative
· Performs a wide variety of assignments which may be confidential in nature and require research to complete; operates personal computer to compose, edit, revise, tabulate, and print letters, tables, reports, and other materials.
· Greets and directs visitors, resolves routine administrative problems and answers inquiries concerning activities and operations of department/division; accepts, screens, and routes telephone calls; maintains log of inquiries as required.
· Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
· Sorts, screens, and distributes incoming and outgoing mail, drafts or prepares responses to routine inquiries, and operates a variety of office equipment.
· Establishes, maintains, processes, and updates files, records, certificates, and/or other documents.
· Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules; makes travel and lodging arrangements, either directly or through travel agencies.
· Orders, stocks, and distributes office supplies.
· Performs basic, routine bookkeeping functions additional activities outlined
· Organize and Maintain project files
· Other duties as assigned.
Accounting
· Assists in preparation financial reports and various accounting statements.
· Assist in monthly reconciliations
· Assist with entering estimates for service work
· Provide support with purchase orders and updating minor add-ons for like shipping charges, etc.
· Assists in providing back up documentation for annual financial audit
· Proofs accounting reports for clerical accuracy.
· Allocates expenditures to correct accounts according to departmental procedures.
· Maintain spreadsheet of project managers and identify who is responsible for authorizing payments
· Provide project details as required to the accounting department.
· Assist accounting with project close out documentation.
· Performs other related duties as assigned.
Required Skills/Abilities:
· Ability to perform simple accounting procedures.
· Knowledge of supplies, equipment, and/or services ordering and inventory control.
· Ability to communicate effectively, both orally and in writing.
· Ability to maintain calendars and schedule appointments.
· Ability to understand and follow specific instructions and procedures.
· Ability to maintain confidentiality of records and information.
· Word processing and/or data entry skills.
· Skilled in the use of operating basic office equipment.
· Ability to create, compose, and edit written materials.
· Organizing and coordinating skills.
· Receptionist skills.
· Proficient in Microsoft Office Suite, particularly Excel, Quick Books software.
Education and Experience:
· High school diploma or equivalent required, with some bookkeeping coursework.
· Bachelor’s Degree or Minimum of three to five years of related experience preferred.
Physical Requirements:
· None or limited exposure to physical risk.
· Work is normally performed in a typical interior/office work environment
· Must be able to lift up to 25 pounds at a time.
Job Types: Full-time, Contract
Pay: $27,000.00 - $40,000.00 per year
