General Summary
This position is responsible for managing the reception area and incoming calls on a daily basis. The primary goal is to create a positive and efficient interaction with customers, vendors and visitors who interact with Advarra.
Principal Duties & Responsibilities
- Work with to accurately direct incoming calls, monitor door cameras for all offices, and communicate with team members to address visitors, etc.
- Communicate with guests in a professional, friendly, hospitable manner
- Keep reception area clean and welcoming for guests
- Maintain security by following established procedures
- Generate electronic communication and other documents as requested
- Maintain electronic files, agreements, logs, databases and/or other related records
- Provide assistance with scanning documents as needed
- Order and manage office and cafe supplies, helping other offices as needed
- Process incoming and outgoing mail and shipments
- Assist on site Office Manager, other offices or departments with tasks and projects as needed
- Other duties as assigned
Job Requirements
Education
- High School Diploma or GED
Experience
- Minimum 1 year customer service experience
- 2 years general office experience
Knowledge, Skills, Abilities
- Must be detail-oriented and possess problem solving skills
- Ability to communicate effectively verbally and in writing
- Effective written communication skills, including ability to summarize complex discussions
- Excellent interpersonal skills to work effectively with others and provide high levels of customer service

- Ability to manage conflicting demands and priorities

Physical and Mental Requirements
- Sit or stand for extended periods of time at stationary workstation
- The employee must occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
- This position requires regular oral/written interaction with clients, team members and management
- Infrequent traveling may be required within the United States
