Affordable Housing developers is seeking a full-time Property Management Assistant, working 8am-4:30pm Monday through Friday. Position involves a variety of administrative and property management duties designed to support the overall mission of the organization to develop and manage affordable housing for low-income individuals and families throughout North Dakota. The Property Management Assistant will work under the supervision and guidance of the Regional Property Manager. Experience in office administration and or property management is preferred, however we are willing to train the right candidate.

Duties Performed:

  • General office tasks including answering, screening and directing incoming phone calls; preparing correspondence, making copies, scanning and filing documents and dropping off mail, UPS and FedEx packages.
  • Maintaining an inventory of all office and property equipment and supplies; ordering supplies for the office and site managers as needed.
  • Preparing and modifying documents as needed including reports, spreadsheets, templates, internal forms and correspondence.
  • Assisting in the review, development, implementation and maintenance of administrative and internal policies and procedures.
  • Tracking and maintaining tenant ledgers and security deposits.
  • Preparing various invoices, establishing payment plans and turning past due accounts over to collections.
  • Developing marketing materials including flyers, brochures, newsletters, and online advertisements.
  • Assist in processing tenant applications and recertification's to include preparing and sending out correspondence, inputting data into internal software, running background and credit checks and sending third party verifications.
  • Assisting in the processing of move-ins and move-outs.
  • Adhering to fair housing practices and compliance with federal, state and local regulations and laws.
  • Verifying rent and income limits for all state and federal agencies at least annually, updating all systems, applications and exhibits.
  • Other duties as assigned.

Minimum Qualifications:

  • Requires a high school diploma and a minimum of 1-year experience in an office setting.
  • Knowledge of property management software preferred, but not required.
  • A demonstrated ability to effectively communicate professionally in both written and oral formats.
  • Working knowledge of standard office equipment.
  • Proficiency in Microsoft Office including, Word, Excel, PowerPoint and Outlook.
  • Ability to work independently under the general direction of the Executive Director.
  • Excellent time management skills and the ability to prioritize work.
  • Strong multi-tasking and organizational skills.
  • Must adhere to state and federal regulatory requirements.
  • Required to sit for long periods of time at a computer.
  • Must possess a valid driver's license and insurable driving record
  • Own a vehicle suitable to meet job requirements.
  • Periodic travel within the State of North Dakota is required.
  • Must pass pre-employment criminal background check and reference checks.

Pay: $36,000.00 - $38,000.00 per year
