What are the responsibilities and job description for the Receptionist position at Aggieland Roofing?
The Office Coordinator ensures all office operations run smoothly. They are the first line of customer service and log appropriate records of customer, vendor, and external communications for both CR Systems and
Aggieland Roofing. Help maintain communication with customers throughout the process and assist all other team members where needed.
- Answer initial phone calls and emails with politeness and tact for Aggieland and CR Systems o Making sure you take a full message with all the details. o Gate keeper to other personal in the office, asking the right questions to avoid sales calls.
- Check voicemail and log all information in system.
- Maintain a daily call log and communicate all messages
- Answer all incoming emails and text/email messages in a timely manner and make sure the information is properly communicated to involved parties.
- Schedule sales team for inspections. Check the calendar daily for accuracy and ensure that the appointment flow is logical.
- Send reminders to customers about inspection and follow up appointment confirmation.
- Maintain Daily Lead Report
- Coordinate with Admin any messages that need to go to sales team
- Schedule meetings for office staff and remind everyone the day before of the time.
- Write thank-you notes to customers whose work and payment are complete. Include referral cards.
Make sure to let them know about our referral program.
- Respond to any customer review, giving a personal message. Ask Admin, Coordinator, or OPS if there is anything special if no notes are found.
- Engage in marketing campaigns during off-season. Including sponsorships.
- Assist Production Coordinator, Admin, and OPS manager as needed during surge times.
- Maintaining monthly job spreadsheet and sold list. Work with Admin on this. o Help with getting away from excel and into Job Nimbus
- Ensure that all general business information on all media platforms and voicemail for accuracy.
- Maintain Showroom
- Stay up to date about upcoming events around town that might be of interest to us.
- Maintain database of local real estate agents, home builders, and other community salespersons’ contact info for future B2B relationship building and teaching.
- Maintain business cards, referral cards, and other marketing materials inventory.
- Maintain office and building supply inventory weekly and communicate to OPS manager.
- Maintain breakroom
- Main contact for phone system
- Maintain applications and give to OPS right away.
- Check and maintain incoming and outgoing mail.
- Help maintain any building maintenance log with OPS.
Job Type: Full-time
Pay: $14.00 - $18.00 per hour

Education:
- High school or equivalent (Preferred)
Experience:
- Administrative Assistants & Receptionists: 1 year (Preferred)
- Customer service: 1 year (Preferred)
