What are the responsibilities and job description for the Project Operations Specialist position at Ahead?

In this role you will be responsible for working with other members of the TSS operations team to ensure compliance for all TSS operational systems, which include but are not limited to Salesforce (SF), Financial Force Accounting (FFA), and Salesforce PSA. Activities will include project setup, timecard adjustments, processing debooks and Project Change requests, creating and administering system business reports, and general assistance to the user community regarding the TSS systems suite.

Responsibilities:

  • Setup of new projects within PSA, validating alignment between the SOW, Opportunity, and WBS, and ensuing all hours, budgets and costs are properly reflected prior to transitioning to the PMO
  • Reviewing approved PCRs and properly adjusting PSA to reflect the updated budgets, costs, and hours
  • Assisting with moving timecards, timecard entry for contractors, timecard audits, and ensuring time has been entered and approved within the required approval dates.
  • Work with Operations logistics team to process debook requests from the PMO and ensure budgets, costs, and hours are properly deducted from PSA and salesforce
  • Monthly reconciliation of Salesforce systems to ensure project and opportunity items stay properly aligned and working with other AHEAD teams as needed to correct as issues are discovered.
  • Compiling and or running of reports and distributing to required stakeholders throughout the organization from leadership to individual contributors on a daily, weekly, or monthly cadence
  • Creation of new reports and or dashboards within native salesforce or salesforce analytics (Tableau) to increase the visibility of key metrics with the organization
  • Work with Sales Operations and pre-sales to assist with the proper way to setup deals for booking to facilitate effectively running in PSA.
  • Continued focus on improving the processes and system configurations to make operations as streamlined and accurate as possible.

  • Monitor dashboards and complete work as new items are moved into the systems that require attention.
  • System Project Setup and Validation
  • Processing of Project Change Requests to update the systems accordingly
  • Moving and entering of timecards when end users are unable to.
  • Processing of debooks to update the system accordingly.

Qualifications:

  • Experience with the Salesforce Platform Suite
  • Ability to work independently and follow process documentation
  • Ability to stay organized and composed while managing multiple tasks
  • Strong documentation creation skills
  • Previous experience working in a Services Organization
  • Previous experience as a Salesforce Administrator or similar role
  • Highly Proficient in working with Microsoft Excel
  • Tableau experience would be a plus
  • Experience providing top-level customer service
