Job description
The Receptionist is the voice of the company; they are responsible for meeting our clients’ scheduled and emergency service requests, communicating timeframes, and gathering valuable information for technicians, billing clerks, and account managers.
Emphasis is placed on a positive, upbeat attitude, and a collaborative approach to problem solving and working with other internal departments to ensure needs are met.
Specifically:
- Answers phones within 3 rings wherever possible.
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Notifies company personnel of visitor arrival.
- Maintains security and telecommunications system.
- Directs visitors by maintaining employee and department directories.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
- Dispatches Service Technicians as needed to inbound service calls.
- Takes out work tickets for customers as needed by technicians or account managers.
- Maintains Contracts and Tasking schedules as needed for account managers.
- Keeps technicians up to date on open work ticket reports.
- Helps to take out purchase orders as needed by technicians.
- Facilitates schedule with customers where required.
- Maintains current dispatch white board.
- Schedules and registers backflow preventer inspections.
- Orders filters for Preventative Maintenance appointments.
Qualifications:
- Associates Degree preferred
- Proficiency with MS Office Suite including Word, Excel, Powerpoint, and Outlook.
- Willingness to "roll up their sleeves" and do what is necessary to get the job done.
- Honesty, integrity, and a strong desire to succeed.
- Excellent organizational and communication skills.
- Ability to deal tactfully in human issues with colleagues.
- Ability to create and maintain cooperative team building relationships.
- Ability to identify strengths and weaknesses in others and shift responsibilities to take advantage of those strengths.
Ability to meet deadlines and work under pressure.

Salary: $50,000.00 - $65,000.00 per year
