What are the responsibilities and job description for the Service Coordinator position at Aire Rite?

Responsible for assigning service calls to the appropriate technician; closing service calls and ensuring all information including time and parts used are accurate. Verifies that technicians have all parts and pertinent information. Prepares proposals for current and prospective customers. Answers customer inquiries. Fast Pace.

Coordination of Service Calls

  • Receive, relay, and/or transmit service call information to technicians
  • Monitor all aspects of service calls and customer service to ensure efficient routing
  • Initiate and close service calls
  • Maintain list of available technicians and efficiently schedule service calls including preventative maintenances within service area
  • Constantly track each service call for response time, urgency, etc.
  • Receive final work order information, including parts and labor time, and either follow up on call or close call. Close calls thru internet providers as needed.
  • Update preventative maintenance and follow up weekly on repair reports.

Customer Service Administration – Internal/External

  • Answer and oversee all department inquiries from customers regarding service calls and follow up work
  • Follow-up with customer on status of call
  • Prepare and transmit written proposals for customers, write and send quotes. Schedule repairs.
  • Maintain accurate and updated customer information in database
  • Order parts for technicians as needed.

Open and Close the Department

  • Open the department and transfer phones from answering service.
  • Check voice mail and emails and enter information accordingly into computer database.
  • Enter overnight service calls as needed and re-route field technicians to the appropriate service call.
  • Close the department, set up field technicians for next day’s service calls and re-route as needed.
  • Turn over phones, shut down and secure the building, and set alarm as needed.

Years/Type of Experience: Minimum of 3 years’ experience working with related commercial service repair trades as a dispatcher, scheduling and project planning experience and the ordering of parts and materials from suppliers. Warranty processing experience a plus. Excel/Database is helpful. Data Basics is a plus.

Education: High School education or equivalent required.
