This position provides general administrative support with a variety of clerical activities and related tasks. The Pharmacy Support Specialist is responsible for answering incoming phone calls, directing calls to the appropriate associate, handling the flow of correspondence, processing, maintaining, and storing patient health information as well as additional clerical duties. This position ensures the efficient day-to-day operations of the office.
JOB SUMMARY:
This position provides general administrative support with a variety of clerical activities and related tasks. The Pharmacy
Support Specialist is responsible for answering incoming phone calls, directing calls to the appropriate associate, handling
the flow of correspondence, processing, maintaining, and storing patient health information as well as additional clerical
duties. This position ensures the efficient day-to-day operations of the office.
EDUCATION AND EXPERIENCE:
A high school diploma or general education degree (GED) equivalent is required and a minimum of 6 months to one year of
administrative assistant experience or equivalent combination of education and experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Recognizes patients’ rights and responsibilities and supports them in the performance of job duties; respects patient’s rights to privacy and confidentiality.
Answers telephones, prescreens, and directs the caller to the appropriate associate.
Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
Responds to patient inquiries as appropriate.
Processes, maintains, stores, and retrieves patient health information in accordance with applicable Federal, State and accrediting agencies’ requirements.
Collects and retrieves patient medical files.
Ensures healthcare workers and employees can easily access relevant information for a specific patient’s chart or file when needed.
Tracks and manages all documents that require patient’s and/or physician’s signature.
Process new patient admission paperwork.
Takes and retrieves messages for various personnel.
Scans, renames, and confirms Delivery Tickets for patient records.
Assists with daily UPS shipment by confirming correct addresses and box count before UPS departs.
Organizes, files, and stores compounding records for future reference.
Receives compounding records and makes sure they are signed by a pharmacist.
Scans and renames compounding records for patient records.
Assists in the ordering, receiving, stocking and distribution of office and breakroom supplies.
Checks e-mails and faxes throughout the day for documents that need direction or attention.
QUALIFICATION REQUIREMENTS:
Must be a registered pharmacy technician or become registered with the Georgia Board of Pharmacy within 90 days of hire date.

Ability to make decisions, solve problems, and work independently with little supervision.
Ability to handle multiple tasks simultaneously.
Ability to communicate effectively and professionally with customers and external contacts to the organization.
Knowledge in the use of standard office equipment such as computers, scanners, telephones, fax machines, and headsets.
Knowledge in the use of e-mail and Microsoft applications.
Ability to quickly learn the use of software such as Complete Patient Records (CPR) program, UPS software, and phone line monitoring systems.
