Salary Range:    $1.00 - $2.00 Hourly

POSITION TITLE:                          ADMINISTRATIVE ASSISTANT

DEPARTMENT:                               CUSTOMER SERVICE

JOB TYPE:                                        FULL-TIME, NON-EXEMPT

REPORTS TO:                                 DIRECTOR OF CUSTOMER SERVICE OPERATIONS

 

FUNCTION

Assist CS staff by supporting areas related to customer service in order to maintain and grow AIS’s business and provide high levels of quality customer service and productivity.  The right person should have an upbeat personality, be flexible and able to multitask, be a team player, offer support to all CSRs, Data Entry Reps, Director of CS Operations & Director of PM/Design/CSR.

 

RESPONSIBILITIES     

    

  • Log PO’s in Order Entry mailbox as the come in using the color coding and flagging system; Log PO’s from eOrders as back-up to Admin 1.
  • Double-check orders 
  • Scanning paperwork to appropriate folders, double-checks, final packets, Credits, etc.
  • Run report and follow up with CSRs on open Bids 3x per week
  • Review Sales report daily and follow-up on Sign Offs that are not returned
  • Data Entry – this position is trained for data entry so that it can fill-in when needed
  • Cross-train for switchboard to be available for coverage when needed
  • Help process Labor Claims, all clerical aspects, maintaining spreadsheet, Phaseware
  • Save all signoffs to appropriate folders, review for changes needed by the CSR before filing (send to CSR when needed)
  • Meets and/or exceeds mutually agreed upon goals and objectives.
  • Adheres to established company policies and procedures.
  • Assumes additional responsibilities as requested.

EDUCATION/EXPERIENCE

Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.  Typical qualifications would be equivalent to:

  • Possession of a high school degree or associates degree from and accredited college or university and,
  • Two or more years of work experience of similar duties as described above.

KNOWLEDGE

  • Strong computer skills, MS Office – Excel, Word, PowerPoint skills.
  • Excellent organizational skills and attention to detail.
  • Demonstrated high level of integrity and business ethics.
  • Demonstrated high personal performance standards with desire and ability to continuously learn and achieve results (i.e., holding oneself accountable for results).
  • Ability to work in fast-paced, rapidly changing environment at all levels of organization.
  • Ability to effectively use office automation, communication, software, and tools used in AIS office environment.
  • Strong understanding of Customer Service Role within a manufacturing industry.
  • Performs other duties as assigned.
