Under general supervision from the Community Services Manager, the Community Events Manager manages the development of comprehensive strategies and approaches for community events and programs.  This position provides leadership motivation, direction and support to staff, event committees, departments, and vendors.  Working conditions of this position will primarily have an office setting with extensive fieldwork during event production that will require working in and around crowds. Must have to ability to work evenings, weekends and holidays when required.

 

Bachelor’s degree in Tourism/Recreation Administration, Marketing, Communications, Business or a closely related field and four (4) years of experience in recreation, tourism or municipal special event management and two (2) years of supervisor experience; OR any equivalent combination of experience and training that provides the knowledge and abilities necessary to perform the work. This position will often be subject to evenings, weekends and holiday work shifts.  Physical requirements of this position are extensive standing, walking, lifting and/or climbing as well as exposure to weather conditions, loud music and other noises.  Must have a valid Arizona Driver's License and be able to meet the Community's insurance carrier requirements.  Must complete and pass a background check.  Tribal government special events experience and management is preferred.   

  • Manages the production of special events and event programs including negotiating, administering and approving department operational expenditures.  Manages Council approved events.
  • Recommends, develops, and implements event planning short-term and long-term goals and objectives for the Community’s special events.
  • Manages the promotion of special events and event program that may include public relations, advertising, and coordination between Ak-Chin and business vendors.
  • Represents the Community at meetings, and other related events.
  • Provides leadership and training; assigns coordinates schedules, and reviews work of the Community Events staff.  Conducts annual performance evaluations and is responsible for timely and proper completion of them.
  • Oversees preparation and accuracy of time cards and payment documents.
  • Prepares and monitors operating budget for the Community Events Program.
  • Oversees the promotion and public outreach functions.   Serves as a liaison with other departments, officials, board and committee members, community groups, sponsors, agencies, media and/or the general public.
  • Coordinates with Emergency Management, Fire, Police and Security in preparing an incident center for high volume events. 
  • Manages and provides direction of the maintenance of facilities, program sites, event spaces, and/or equipment to ensure safe and secure operations.
  • Assesses the Community’s special event marketing needs, develops, implements and manages strategic marketing and communications campaigns and project that reach, inform, and involve businesses, residents, and other targeted audiences.
  • Analyzes each event’s performance, costs and collected data into submit performance reports (monthly, quarterly, and annually) to the Community Services Manager.
  • Prepares proposals, reports, and other technical documents, and provides them to the Community Services Manager as needed.
  • Performs other work-related duties as assigned.

 

  • Knowledge of principles, practices and duties of special event and event program management.
  • Knowledge of research methodologies for special events.
  • Knowledge of principles of marketing, advertising and public relations.
  • Knowledge of budget development, preparation and monitoring.
  • Knowledge of modern sponsorship concepts.
  • Knowledge of project management practices and procedures.
  • Knowledge of the principles and practices of management (e.g. budgeting, procurement, supervision, communication and time management)
  • Skill in Public Relations.
  • Skill in negotiating contracts with vendors, entertainers, event producers and equipment suppliers.
  • Skill in organization and time management.
  • Must have strong communication skills with committees, staff, vendors, entertainers, event producers and equipment suppliers to prevent directional downfall.
  • Ability to effectively administer, monitor and evaluate the Community Events program.
  • Ability to work timely and accurately under pressure to meet deadlines for special events and event program projects.
  • Ability to prepare clear and concise oral and written reports.
  • Ability to communicate effective verbally and in writing.
  • Ability to develop, maintain and adhere to a budget for event production.
  • Ability to handle multiple projects simultaneously and use good judgement in prioritizing work assignments.
  • Ability to operate standard office equipment including a personal computer using Microsoft Office (Word, Excel, PowerPoint).
  • Ability to supervise and coordinate the activities of the staff as assigned, including training, scheduling, hiring decisions, written performance evaluations and possible disciplinary actions.
  • Ability to establish and maintain effective working relationships with employees, Community Operations Manager, the Community Council and the general public.
  • Must have the ability to meet the physical requirements and exposure to various weather conditions for this position.
