Administrative Assistant: Experience in Condominiums
Reports to the Property Manager
Position Overview:
Responsible for assisting the Property Manager, Board Members, and unit owners with their needs, questions, and requests.
Responsibilities include, but not limited to:
- Prepares rentals and new residents’ approval and welcome packages
- Prepares and obtains approval for Notice of Commencement and Rights of First Refusal for units being sold
- Program access key fobs
- Process checks for security deposits and move reservations
- Communicate with vendors, contractors, and service providers as needed
- Communicate with prospective buyers and tenants
- Review and prepare sales and leasing applications for Board review
- Address resident matters relating to accounting, special assessments, and account ledgers
- Dispatch Security and Maintenance as applicable
- Update the property management software system to reflect changes in residents’ details
- Communicate with vendors when service is required
- Amend documents as requested
- Provide support to the Assistant Property Manager and the Property Manager as needed
- Prepare keys for weekly pest control service
- Orient new residents
- Enforce rules as per the Violation Standard Operating Procedure.
- Performs such other duties as may be assigned by Management at its discretion from time to time.
Qualifications:
- Administrative experience in residential condominium management is preferred
- Strong verbal and written communications skills
- Proficient with MS Office Suite programs; specifically, Outlook, Excel, Word
- Yardi, Buildinglink & Avid experience
- Bilingual required
- LCAM preferred but not required
