JOB DESCRIPTION: BOOKEEPER, ADMINISTRATIVE ASSISTANT
We seek a competent, trustworthy professional, who will learn our business by assisting with the day-to-day bookkeeping and general administrative duties of our small-business office, with potential to eventually advance to full-charge bookkeeper.
- Manage common office tasks.
- Provide polite and professional assistance via phone, mail and email.
- Be a proficient, helpful and positive presence in the workplace
- Have strong problem-solving skills
Typical duties include:
- General bookkeeping in support of / assisting our CFO.
- Using Quickbooks for basic entries, printing or altering invoices and reconciliations.
- Assist with invoicing, receiving payments, invoicing, receivables, payables, and financial reports.
- Assist with freight estimation, billing, booking and followup, including handling domestic and international shipping documentation and facilitation.
- Parts pricing and procurement for our remanufacturing operation
- Process / facilitate internal operational paperwork and database tracking, work orders, inventory entries, parts and labor hour tracking, sales reports, etc.
- Document handling and facilitation for product quotations, freight quotes, sales write-ups, invoices, and other general correspondence, meeting documentation, sales reports, and etc.
- Producing computer generated reports, record-keeping, product pricing research.
- Assisting with online marketing material generation, such as blog post and web-page production, mailer design, and other tasks supporting marketing, advertising and sales activities.
- Maintaining professional communication via phone, email and mail.
- Mail receipt, general filing.
- Reception – greeting visiting customers / prospects, dealing with deliveries, vendors, job applicants and other walk-in visitors.
- Screening phone calls and routing callers.
Requirements:
- High school education with significant bookkeeping experience, or college degree preferred, accounting degree preferred.
- Excellent computer skills
- Quickbooks specific accounting system knowledge helpful.
- Operate common office equipment (computer, copier, scanner, fax, etc.)
- Particular attention to detail
- Excellent grammar and spelling
- Proactive and adept at problem solving

Starting salary range commensurate with experience and skills. Full time position.
