The HR Specialist – Leaves of Absence is responsible for administering the leave of absence process for all employees; Explains policy and procedures related to Administrative, FMLA, Extended Medical, Extended Family, Military and Worker’s Comp leaves of absence; Provides time entry for all employees in a leave status which might require coordinating with disability insurance, payroll and/or worker’s compensation; Bills insurance premiums to employees in leave status. This position requires strong organizational skills and the ability to document and track information; strong communication skills; the ability to work collaboratively with others; excellent customer service skills. Experience with Family Medical Leave (FMLA), disability insurance and worker’s compensation, and previous HR experience in a service environment preferred.:
Minimum eligibility requirements:
Associate’s degree in Human Resources or related field preferred.
2 years of Human Resource experience required.
Must have basic computer skills (Microsoft Office).
Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
Excellent written and verbal communication skills.
Excellent analytical and problem-solving skills.
Excellent organizational skills and attention to detail.
Desire for continuous learning in field.
Keen ability to organize files/documents in an innovative manner.
Ability to read, write and speak English.
Must pass criminal background check.

Essential functions:
Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason.
Advises managers and employees on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.
Oversees the return-to-work process for employees returning from extended FMLA, workers’ compensation, or other leave(s).
Facilitates other leave requests, which may include accommodation requests under the ADA.
Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.
Drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
Preserves confidentiality of employee medical documentation and files.
Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
Performs other related duties as assigned.:
Working conditions (travel, hours, environment):
Able to work full-time, with some weekend work.
Travel to oversight communities required to maintain compliance.
Is subject to frequent interruptions.
Works beyond normal working hours, and supports other positions, when necessary.
Is subject to callback during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
Is subject to injury from falls, burns from equipment, odors, etc., through the workday, as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants.:
Physical/sensory requirement:
Light work – Ability to exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to lift, carry, push, pull, or otherwise move.
