All God's Children International is actively seeking a dedicated individual to serve as our Administrative Assistant located in the Vancouver, WA area. This is an onsite, part-time position working 20-25 hours per week. 

The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the AGCI office and team. The successful candidate will handle various tasks including handling communication, managing organization files, ingoing and outgoing mail and performing general clerical duties. This position requires a proactive and detail-oriented individual who can handle multiple responsibilities with a positive attitude.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

Office Support:

  • Prepare remote deposit of checks and upload documentation to accounting.
  • Maintain notary status in Washington and Oregon.
  • Monitor and direct incoming emails to general company email address
  • Conducts and coordinates local requests for criminal background checks.
  • Assists with various department tasks such as coordinating meetings, preparing materials for staff meetings, or preparing materials for AGCI representation at events.
  • May require occasional local travel for needs such as notarizing documents, shipping, maintaining off-site storage, and other administrative duties as assigned.
  • Order and maintain office supplies, ensuring adequate stock levels.

Mail Management: 

  • Receive, sort, and distribute incoming mail to the respective departments or individuals. Maintain accurate records of incoming and outgoing mail, tracking deliveries and shipments.
  • Manage outgoing mail and prepare for domestic or international shipment.  
  • Prepare and distribute correspondence to donors for child sponsorship program.
  • Liaise with internal departments to facilitate the timely delivery of important documents and packages.
  • Communicate with external courier services and postal agencies to address any issues or delays.

Document Management:

  • Organize and maintain physical and electronic documents on behalf of the AGCI head office.
  • Manage off-site document storage. Ensuring tracking, retrieving, and sending of files. Coordinate pickup of documents to be shredded. 
  • Ensure accurate and up-to-date documentation of important records within the AGCI head office.
  • Assist in initiating and maintaining cooperating agency agreements. Ensures cooperating agency agreements and related documents are current and valid.
  • Maintain an accurate list of cooperating agencies and ensure print and web cooperating agency resources are accurate and up to date.
  • Assist in processing and administrative review of adoption paperwork on behalf of AGCI’s programming team.

General:

  • Displays excellent time management and organizational skills to prioritize workload.
  • Displays excellent communication skills including in-person customer service, documentation, detail-orientation, and sensitivity with confidential documents and information; displays exceptional ability to communicate effectively and remain calm and courteous under pressure.
  • Respectfully takes direction from the Vice President of Finance. 
  • Maintains punctual, regular and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation and remains open to all levels of work and support for the organization.
  • Other duties, as assigned.

EDUCATION and/or EXPERIENCE 

Associate's or Bachelor’s degree may be given additional consideration. One to three years' experience in a similar administrative role is required.


CERTIFICATES, LICENSES, REGISTRATIONS 

Must possess a valid driver’s license and ability to supply appropriate documentation/identification to travel authorities when traveling domestically and internationally.


This position requires the successful completion of an extensive criminal background check. All candidates must be legally eligible to work in the United States without company sponsorship. 


COMPENSATION

$19.00 - $21.00 per hour depending on experience.
