We're hiring and paying TOP DOLLAR! Our dynamic and growing General Contracting company (located in Orange Park, FL) has an immediate opening in our Property Maintenance/Facilities division for an experienced Administrative Assistant/Customer Service Rep. This position will work to provide superior customer service and be the support person for our Office Manager.

Responsible for taking calls from customers and creating job orders/service call tickets following up on work orders that are complete and organizing information from work orders to prepare customer billing. Support field personnel (carpenters, tile, paint, property maintenance techs) with time cards and job slips. Prior office work in a Multi-family (apartment complex) environment a real plus. Great opportunity for someone to advance to the next level who has worked in a Construction office.

  • Take incoming calls from apartment complexes and multi-family customers to determine needs within the Property Maintenance department.
  • Enter work orders for Property Maintenance jobs with job numbers in Sage 300 computer system.
  • Use computer software to complete data entry for billing.
  • Assist with time sheets of Property Maintenance employees (such as attach receipts, notate bid jobs, clarify notes on time sheets)
  • Assist PM field employees with needs such as getting t-shirts and safety equipment when needed.
  • Help schedule jobs for field employees and talk to customers to coordinate availability of tenants to have work completed.
  • Assists in reviewing and preparing subcontractor/vendor/supplier billing for Accounting and submit as needed.
  • Assist Office Manager Invoice time & materials jobs. Gather information as needed to complete accurate invoices.
  • Invoice additional PM work as assigned and answer customer questions concerning PM invoices
  • Process all e-mail and postal mailing of invoices.
  • Print Toolbox safety topic sheets for weekly meetings
  • Enter and file invoices sent by the PM Small jobs group as needed
  • Back up Receptionist desk during lunch hour.

M-F schedule 8:00am-5:00pm. Must be dependable. Able to work in an open and fast-paced office. Must successfully pass a drug screen and background check.
