Summary of Position:

The Office Coordinator works closely with the Executive Director and other members of the professional and student staff to ensure a welcoming and productive environment for all who work within and engage with the center. Regular responsibilities include front office administrative tasks, the ongoing maintenance of system approvals of employers and users within career center programs, and facilitating effective scheduling, communications, and workflows of the center.

What you will do in this role:

As the Office Coordinator, you will:

  • Support operations and engagement initiatives of the center in a way that ensures a welcoming and productive environment for all who work within and engage with the center. Serve as an attentive frontline professional for students and other stakeholders while maintaining office services, regular communications with internal and external stakeholders, system approval responsibilities (i.e. Handshake), room reservations, project/program workflows, and related tasks.
  • Provide daily operational support to the Executive Director: process routine correspondence and incoming/outgoing mail, monitor and maintain the budget and purchasing reconciliations; maintain confidential office files; support the drafting and delivery of reports, memos and other communications. Manage Executive Director’s schedule. Prepare minutes, reports and supporting materials as needed.
  • Support student employment efforts within the center, including supervising student workers and the regular coordination of communications between parties.
  • Maintain duties as the primary scheduler and event planning facilitator of a variety of meetings, appointments, and on and off-campus events and plans. Coordinate catering needs and travel plans and purchasing for center colleagues.

  • Position will start out as part time, up to 30 hours a week and with growth of the position, full time could be an option.

YOUR EXPERIENCE

  • Minimum of 1 years of relevant experience in an office environment.
  • High school diploma or GED required, Preferred Associates or Vocational/Technical school degree
  • Knowledge of Microsoft Office Suite, Google products, Social Media
  • Preferred experience in Career Services, but not required.
  • Track record of achieving exceptional results.

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

The expected minimum salary range for this position: $15.00 an hour.

THE HIRING PROCESS

With this position, there is no application deadline. We hope to have the ideal candidate hired by February 1, 2024, although a start-time may be later than this, depending on a candidate’s availability. We could also have a start date that is sooner than February 1, 2024. For certain positions, finalist candidates can expect to engage in interviews either in person or via online meetings.
