Minimum Requirements:

High school diploma or its equivalent AND the completion of a secretarial or business certification. Experience in a professional work environment preferred but not required. An equivalent combination of education and experience may be substituted.

It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position.

Additionally, it is the policy of Allegheny County that in order to receive a final offer of employment, candidates for positions within the executive branch must provide proof of a Covid-19 vaccination. The prospective employee will need to be fully vaccinated or have at least one shot of a two-shot series before beginning work. Any employee who does not receive and provide proof of the second shot within 30 days will have their probationary employment terminated. Allegheny County will allow for medical and religious exemptions from the requirements in accordance with state and federal law.



Position Summary:

The Homicide Unit Professional Assistant works under the supervision of the Section Commander and deals with highly confidential, sensitive, and classified information. The Homicide Unit Professional Assistant provides secretarial and general clerical support to personnel assigned to the Homicide Unit. The position works closely with investigators and will come in contact with investigative evidence including images of violence and strong language.




Duties:
  • Receives and directs telephone calls to appropriate personnel.
  • Types correspondence and reports utilizing a county assigned computer.
  • Distributes mail to the appropriate section personnel.
  • Follows the Allegheny County Records Management Program for case file storage.
  • Prepares, maintains, copies, and distributes case files according to department requirements.
  • Conducts general administrative duties (i.e., general typing, filing, and correspondence).
  • Scans and sends case files to the District Attorney’s Office through a secure county website.
  • Copies discs related to case files and distributes them to law enforcement, district attorneys, and civil attorneys.
  • Enters travel and training requests through the county’s OnBase system.
  • Annually provides requested reports to PA Violent Death Reporting System.
  • Performs other related duties as assigned by management.
  • Generally, the position is Monday-Friday daylight hours, but occasionally may require varied hours or weekend work.

Knowledge, Skills, and Abilities: Knowledge of:
  • General office practices and procedures.
  • Written communication formats (business English and composition).
  • Microsoft Office, Excel, Word, SharePoint, PowerPoint, and OnBase along with a variety of other software applications.

Ability to:
  • Pass a comprehensive personal background investigation.
  • Communicate effectively, both orally and in writing.
  • Operate various pieces of office equipment, such as a copy machine, facsimile machine, DVD copy tower, and telephone system.
  • Maintain confidentiality of classified information.
  • Communicate with employees, victim’s families, and other business contacts in a courteous and professional manner.
  • Work independently under general supervision and make independent decisions, including but not limited to, directing calls to the appropriate investigative unit, administrative section or outside agency.
  • Coordinate with federal, state, and county agencies for the distribution of crime and mortality data within the framework of the Criminal History Record Information Act.
  • Maintains database of confidential information and generates and disseminates various system reports on a regular and/or ad hoc basis as requested or required.
  • ?Maintain the chain of custody in the maintenance and transfer of evidence and documentation including but not limited to photographs, reports, and supporting documentation.

Residency: Allegheny County within 1 year.
