What are the responsibilities and job description for the Administrative Assistant - (Lewis Run, PA) position at Allegheny Surface?
Provide administrative support to the sales and production staff. Duties include general clerical and project based work. This position will be handling. Project a professional company image through in-person and phone interaction.
Essential Duties and Responsibilities:
Key Responsibilities include, but are not limited to:
- Assist sales in handling request for quotes with quote follow up and record findings in customer relationship management software. Assist sales in converting quotes to sales orders in main computer system and provide sales order acknowledgements to the customer. Assist sales by fielding customer service questions, handling return goods authorizations and entering non-conformance reports. Assist sales by updating customer records.
- Assist production with labor data entry. Assist production by preparing jobs for production like incomings, process control plan creations, job releasing and more. Assist production with creating packing slips for outbound shipments. Assist production by completing production jobs, filing and other administrative duties. Filing, purging files and other administrative duties and projects as assigned.
Education and Skills Required:
- Three to five years of administrative experience and one year customer service experience and/or training is preferred.
- Requires proficient experience in the use of Microsoft Office (Outlook, Word and Excel).
- High school diploma or GED is required.
- Good organizational skills, attention to details, and discretion when dealing with confidential information is required. Ability to learn quickly, take initiative, solve problems, exercise good judgment, and work at a fast pace is required.
- Duties require professional verbal and written English communication skills. Ability to effectively present information and respond to customer inquiries and problems by de-escalating and resolving issues. Ability to read, analyze, and interpret scientific and technical information including manufacturing drawings.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
