What are the responsibilities and job description for the Controller position at Allen Organ Company?

This position reports to the President and is responsible for monitoring day-to-day processing and activities of the Company's Accounting Department; overseeing month end closings; preparation of monthly consolidated financial statements. Candidate has the capability to develop and implement accounting policies and procedures that ensure appropriate financial reporting and a thorough knowledge of general accounting systems and internal and external reporting. Minimum requirements include a 4-year degree in accounting and 5 years of relevant experience.

Responsibilities Include:

Daily/Weekly

  • Maintain daily cash balances and transfer amounts as needed.
  • Process 401k employee contribution payments to JH. Approve and review loan and disbursement requests.
  • Submit weekly HSA employee contributions to Highmark.
  • Prepare and maintain executive payroll.
  • Monitor accounting functions to ensure accurate and timely processing of accounting transactions.
  • Perform and/or monitor updates of subsidiary transactions to subsidiary ledgers and ultimately to general ledger.
  • Record required general journal entries and post to general ledger.
  • Record retail, AIA, & outside salesmen commissions; process payments and create various reports for management.
  • Review A/R. Monitor customer credit and communicate with customers to facilitate timely payment.
  • Record and transact vendor payments that are paid via wire.

Monthly

  • Prepare monthly journal entries (P/R, Accruals, expenses).
  • Perform necessary month end accounting to close general ledgers.
  • Preparation of monthly, quarterly, and annual financial statements.
  • Monitor company's investment income.
  • Oversee the maintenance of the Company's fixed asset records.
  • Reconcile bank accounts.
  • Maintain details of prepaid expenses and record appropriate amortization.

Quarterly

  • Process District Manager sales report and commission payments.
  • Prepare and process sales tax returns.

Other

  • Preparation of annual tax return information for outside accountants.
  • Preparation of annual Canada tax return.
  • Preparation of tax payments and corresponding distribution payments to shareholders.
  • Preparation of year end workpapers for use by independent auditors.
  • Monitor implementation of internal controls.
  • Prepare annual overhead analysis and calculation of overhead rates.
  • Prepare Annual Survey of Manufacturers; Dept. of Commerce, MA-1000, and other required government census reports.
  • Insurance: Review annual insurance coverage requirements.
  • Maintain/control corporate credit cards.
  • Calculate departmental overhead rates as applicable and develop appropriate application to product cost. (future Activity Based Costing).
  • Maintain corporate records and prepare annual BOD Minutes.
  • Timely preparation of financial reports that provide accurate financial data for the Company's management and regulators.
