Position: Executive Assistant
Purpose: To assist the President and his executive team with duties required to administrate and manage the executive office. A high-performing Executive Assistant:
Job Duties:
1. Coordinate executive meetings and events, and record notes when required, including senior leadership and Board of Directors meetings.
2. Create, maintain, and retain executive reports and measures, including board reports, monthly scorecards, and business performance data.
3. Maintain and proactively communicate with external parties regarding matters where the company interfaces with the community. This includes the planning of social and philanthropic events and endeavors.
4. Manage and oversee event coordinating, including but not limited to:
a. Corporate / team travel
b. Company dinners / receptions
c. Significant company / employee milestones
5. Update and communicate employee milestones such as service awards, birthdays, graduations and family additions, new hire (and other) pictures/administration, among other tasks.
6. Schedule and administrate company vehicles.
7. Set up and continually improve corporate office filing systems.
8. Maintain office supplies; implement improvements to reduce costs and increase efficiency.
9. Draft, publish, and maintain communications from the executive office, including company letters, notes from meetings, and others, as required.
10. Provide minimal administrative support for AMP’s other businesses (namely, PTI and Allied India).
11. Other duties, as assigned.
Qualifications and Skills:
1. Demonstrated knowledge of office administration.
2. Proficient in Microsoft Office 365 applications (Excel, Word, PowerPoint, etc.) or similar.
3. Understanding of personnel and compliance record management.
4. Effective analytical and problem-solving skills.
5. Excellent written, verbal, and interpersonal communication abilities.
6. Ability to maintain confidentiality.
Education / Experience:
2. 3 years (minimum) relevant experience.
