What are the responsibilities and job description for the Personnel Assistant II position at Alutiiq?

The Personnel Assistant II will assist with specific Human Resource functions with the primary responsibility being timekeeping to ensure employees are properly paid.

Primary/Major Duties and Responsibilities (Essential Functions):

  • Work under strict deadlines to ensure payroll is met
  • Create and distribute timesheets for all employees
  • Review timesheets for accuracy, manager’s signatures, service codes, job numbers, PTO etc.
  • Calculate weekly OT hours, verify and enter job orders start and completion time.
  • Research job order numbers as necessary
  • Input timesheet data daily into government database (Maximo, NetGen) and Alutiiq database (Deltek) daily.
  • Provide individual timesheet data to Corporate as required for auditing purposes
  • Provide routine clerical duties as assigned to include answering phones, filing, using copier, scanner and computer.
  • Respond to routine questions on policy and procedures, CBA and timekeeping.
  • The position may be asked to consolidate information from various sources under short deadlines.
  • Interact with employees, government representatives of all levels in a professional manner
  • The position may perform sensitive tasks regarding employees. This requires a level of maturity and strict confidentiality.
REQUIRED QUALIFICATIONS AND EXPERIENCE:
  • SUPERVISORY RESPONSIBILITES: No supervisory responsibilities required.

  • EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) and more than five years personnel assistant experience or related area or equivalent combination of education and experience.
  • LANGUAGE SKILLS: Must be fluent in English. Ability to read and comprehend simple instructions, short correspondence, and memos Ability to write simple correspondence Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
  • MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • REASONING ABILITY: Ability to apply common sense understanding to interpret and carry out instructions furnished in written, oral, diagram or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • MATERIALS AND EQUIPMENT: Ability to safely operate and maintain the following: Company vehicles. General office equipment (i.e., telephone, calculator, copier, fax, scanner, computer, etc.)

  • While performing the duties of this Job, the employee is regularly required to sit and talk or hear. The employee is frequently required to stand; walk and reach with hands and arms. The employee is occasionally required to use hands to finger, handle, or feel and stoop, kneel, or crouch. The employee must be able to shift boxes of archived timesheets and /or move up to 50 pounds, frequently lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

  • General small office setting. Cubicles and offices. Foot traffic throughout the day, noise level to the level of office machines (ringing phones, copier, and scanner) and general conversations.
