Who you are:
As the Executive Assistant to the CEO, you thrive in an environment where no two days are ever the same. You’re naturally meticulous, highly organized, reliable, adaptable, and proactive about being 5 steps ahead. You’ll be working in a very fast-paced evolving PR/Marketing firm supporting the CEO and work alongside the rest of the team. Meticulous schedule coordination, logistics planning, project management, strong interpersonal communication across all channels, and ability to build rapport quickly with the CEO and executive team will be your keys to success.
As the Executive Assistant, you will:
- Provide day-to-day administrative and personal assistance to the CEO, and others with the team as needed.
- Act as the liaison between CEO and internal team as well as outside vendors, influencers, ect.
- Manage the CEOs calendar, route and filter correspondences, and collect/ analyze necessary information to relay.
- Coordinate meetings, take minutes, execution and coordination of events, logistics planning, ect as necessary.
- Support executive team members with ad hoc projects, managing project timelines and expectations, logistics, and deliverables.
- Assist with office management such as mailing packages, and other duties as needed.
Your experience and skills include:
- College degree preferred
- Minimum of 2 years of experience as an Executive or Personal Assistant
- Advanced proficiency using Outlook for calendaring (MAC and PC)
- Excellent organizational, interpersonal and written communication, and presentation skills. Strong editing and proof-reading skills preferable
- Ability to work well under pressure, set priorities and meet deadlines.
- Ability to handle sensitive information with confidentiality, diplomacy and tact.
- Professional demeanor, flexibility and ability to respond to multiple demands.
- Demonstrates flexible and efficient time management and ability to prioritize workload.
